Job summary

Hireframe is seeking a Production Coordinator to work with the Director across 6 events, handling budget maintenance, vendor payments, and communications. You’ll coordinate timelines, onboarding, and payment processing in Ramp while ensuring invoices are properly coded and tracked.

The role requires strong English writing, proactive issue spotting, and the ability to align with PST hours or begin earlier to fit EST. Remote-first with nearshore/offshore teams worldwide.

Qualifications

• 3–5 years in a production coordinator, production finance, or event operations role—ideally in entertainment, live events, sports, or agency production.
• Strong command of complex spreadsheets; navigate multi-sheet budget models.

Responsibilities

• Own day-to-day maintenance of the season event budget across 6 events; record actuals and flag variances.
• Manage vendor onboarding and payment processing in Ramp; set up vendors and code invoices.
• Monitor staged vendor payment schedules and alert team when action is needed.
• Support multi-currency reconciliation across USD, AUD, and CAD; flag conversion impacts on the budget.
