The role requires empathetic, timely follow-up with leads and clients, light billing and compliance tasks, and strict HIPAA practices for health information. Remote work with US Eastern Time availability.

Qualifications

• 2+ years in a healthcare-adjacent, caregiving, or medical administration role.
• Strong written and verbal communication in English.
• Comfortable with detailed, recurring admin work and accuracy.
• Available to work Eastern Time (US) business hours.

Responsibilities

• Monitor incoming leads and respond within minutes of a new inquiry.
• Run a structured multi-touch follow-up cadence over the first two weeks.
• Book qualified leads into the team's calendar for calls/visits.
• Handle ongoing follow-up with leads and clients with empathy.
• Manage rescheduling and keep calendars accurate and up to date.
• Support recurring billing, invoicing, and compliance reporting.
• Operate within HIPAA-compliant handling of client information.
