Job summary

Smart Outsourcing Solution is seeking a remote Workforce Coordinator to manage the allocation, capacity, workload, and scheduling of delivery resources across client accounts. You will act as the gatekeeper before tasks are assigned, selecting the best resource based on role, skills, and current workload to ensure deliberate, not just available, allocations.

Responsibilities include maintaining capacity views, balancing workload, and forecasting capacity risks.

Qualifications

• Experience in workforce coordination, resource management, or project coordination roles.
• Strong capacity and workload management skills.
• Proficient in spreadsheets and data analysis.
• Ability to allocate work across multiple team members.
• Excellent organizational and scheduling abilities.
• Ability to manage multiple priorities simultaneously.
• Strong written and verbal communication skills.
• Comfortable working with utilization and capacity data.
• Ability to challenge unrealistic workload expectations.

Responsibilities

• Act as gatekeeper for assigning production work across the delivery team.
• Maintain an accurate view of capacity and deadlines across the team.
• Distribute work to balance load and optimize outcomes.
• Ensure task assignments match each resource's skills and experience.
• Maintain visibility over delivery schedules and upcoming capacity constraints.
• Identify future capacity risks and forecast demand vs. capacity.
• Monitor utilization, capacity data, and resource allocation.
• Respond to changes affecting allocations (unexpected leave, urgent work, etc.).
• Provide regular visibility to senior delivery leads on resource use and forecast demand.
• Contribute to development of workforce management systems and processes.
