Job summary

Gastronova Hospitality Group is seeking a detail-oriented and proactive Purchasing & Inventory Officer to support the procurement and inventory operations of Maison Ladurée in the Philippines.

The role coordinates purchasing, monitors stock levels, and maintains accurate records to ensure timely availability of ingredients, packaging materials, equipment, and supplies. Collaboration with suppliers, the commissary, stores, and internal departments is essential.

Qualifications

• Bachelor's degree in Business Administration, Supply Chain Management, Logistics, Operations Management, Accountancy, or a related field.
• Minimum of 2 years of experience in purchasing, inventory control, procurement, or supply chain operations, preferably within the Food & Beverage, Hospitality, Retail, or FMCG industry.
• Strong knowledge of purchasing procedures, inventory management, and stock control practices.
• Familiarity with inventory systems, purchasing documentation, and basic procurement processes.
• Proficient in Microsoft Office applications, particularly Microsoft Excel.
• Strong analytical, organizational, and problem-solving skills.
• Excellent communication and coordination skills with suppliers and internal departments.
• High level of accuracy, attention to detail, and integrity in handling inventory and purchasing records.
• Ability to manage multiple priorities in a fast-paced operational environment.
• Willing to travel to Maison Ladurée stores, the commissary, and supplier locations as required.

Responsibilities

• Assist in evaluating supplier performance related to quality, delivery, and service.
• Support the implementation of process improvements to enhance purchasing and inventory efficiency.
• Ensure purchasing and inventory activities comply with company policies and established procedures.
• Assist in maintaining accurate records for audits and operational reviews.
• Perform other duties assigned by the Supply Chain Manager or Senior Management.

The Purchasing & Inventory Officer is responsible for coordinating purchasing activities, monitoring inventory levels, and maintaining accurate stock records to ensure the timely availability of ingredients, packaging materials, equipment, and operational supplies. This role works closely with suppliers, the commissary, stores, and internal departments to support efficient operations while upholding Maison Ladurée's standards of quality, accuracy, and operational excellence.

Key Responsibilities

A. Purchasing Management

• Process purchase requests and prepare purchase orders in accordance with company policies and operational requirements.

• Coordinate with approved suppliers to ensure timely procurement and delivery of goods and services.

• Monitor purchase orders and follow up on pending deliveries to ensure continuity of operations.

B. Inventory Management

• Monitor inventory levels and maintain accurate inventory records across stores and the commissary.

• Ensure proper stock replenishment to prevent shortages and overstocking.

• Support regular inventory counts, reconciliation, and variance analysis.

C. Inventory Control & Documentation

• Ensure compliance with inventory control procedures, including proper stock rotation (FIFO) and documentation.

• Maintain organized purchasing, receiving, and inventory records.

• Prepare inventory and purchasing reports for management review.

D. Supplier & Operational Coordination

• Coordinate with suppliers, Store Managers, Commissary, Finance, and Operations to resolve purchasing and inventory concerns.
