Job summary

Quanta Philippines ROHQ is seeking a Proposal Coordinator to coordinate and organize timely, accurate responses to client inquiries and formal proposals across End-Markets. This role supports the Project Management Office goals and ensures compliance and quality in submissions.

You will collaborate with the Proposal Manager, utilize Deltek Vantagepoint, and drive process improvements while meeting deadlines in a fast-paced environment.

Qualifications

• Bachelor's degree in Engineering, Management, or related discipline.
• At least 5 years of industry-specific work experience with proposal preparation processes.
• Detail-oriented with the ability to meet deadlines.
• Proactive with continual process improvement mindset.
• Proficient in Microsoft Office products (Word, Visio, Excel, Access, SharePoint, PowerPoint, Teams).

Responsibilities

• Provides recommendations to the Proposal Manager to aid in timely and accurate completion of proposals.
• Enables proactive communication for the proposal preparation team using appropriate technology and systems.
• Proactively facilitates and prepares proposal kick-off meetings and ensures all proposal data is documented and shared appropriately, including preliminary research on potential proposal structures.
• Ensures the proposal preparation process is followed and encourages all contributors to provide timely input.
• Ensures completed proposals and submissions meet deadlines as required by the client.
• Maintains all relevant information for prequalification, proposal requests and completed proposals in a secure, organized, and searchable manner.
• Conducts regular audits of the proposal process and recommends continuous improvements.
• Is a ‘SuperUser’ in Deltek Vantagepoint ERP for relevant and accurate proposal set up and data entry and is the prime contact for other users for proposal set up.
