Job Description
Production Planning & Scheduling
- Create, maintain and update production schedules for local and offshore manufacturing orders from purchase order
placement through to completion and dispatch. - Monitor production milestones, critical paths, lead times and required delivery dates to ensure orders remain on
schedule. - Follow up suppliers and manufacturers regularly for production status updates and ensure agreed dates and
milestones are recorded accurately. - Identify potential production delays, capacity constraints, material issues or other risks early and elevate them to the
Production & Supply Chain Manager. - Ensure production schedules align with purchasing requirements, inventory needs, customer deadlines and inbound
freight plans.
Purchasing & Inventory Coordination
- Reschedule and reprioritise production activities in consultation with the Melbourne team when customer
requirements, stock priorities or supplier timelines change. - Maintain clear visibility of work in progress (WIP), outstanding production orders, expected completion dates and
shipment readiness. - Coordinate production requirements across multiple suppliers and orders to support on-time delivery and continuity of
supply. - Analyse stock levels, reorder requirements, usage, backorders and aged stock using DEAR/Cin7, Excel and other
reporting tools. - Assist with demand forecasts and purchasing requirements based on sales demand, inventory levels, production lead
times and customer commitments. - Raise, maintain and monitor purchase orders as required and ensure order information is complete and accurate.
- Support stocktake and inventory cycle-count activities by investigating discrepancies and assisting with inventory
adjustments as directed.
Supplier & Logistics Coordination
- Maintain records of purchases and reconcile relevant information against supplier invoices, delivery documentation
and received stock. - Follow up overdue, delayed or rescheduled purchase orders and communicate changes to relevant internal
stakeholders. - Assist with inventory code maintenance and accurate item/master data where required.
- Act as a day-to-day contact for suppliers and manufacturing partners regarding production schedules, order status,
lead times and delivery requirements. - Monitor supplier adherence to agreed production dates and lead times and report recurring performance issues.
- Coordinate with freight, warehouse and internal operations teams to ensure completed production is ready for
shipment and inbound deliveries are visible. - Monitor inbound freight and expected arrival dates and update relevant systems and stakeholders when timelines
change. - Coordinate supplier returns or production-related follow-up where required.
- Maintain professional, clear and timely communication with offshore suppliers and the Melbourne-based team.
Reporting & Production Visibility
- Maintain accurate production trackers, critical-path reports and scheduling dashboards.
- Provide regular updates on WIP, overdue orders, production risks, expected completion dates, inbound deliveries and
inventory requirements.
Systems & Process Improvement
- Maintain and operate company systems including Microsoft Office, DEAR/Cin7, Magento, Trello and other production,
inventory and reporting platforms used by Thread Group. - Identify opportunities to improve production scheduling, purchasing, reporting and supplier follow-up processes.
- Support automation, workflow optimisation and continuous-improvement initiatives across production and supply
chain activities. - Maintain clear records, standard operating procedures and consistent processes to support reliable offshore execution.
Stakeholder Coordination
- Work closely with the Production & Supply Chain Manager and relevant Melbourne-based teams to align production
priorities with customer and business requirements. - Coordinate with sales, eCommerce, customer service, warehouse and purchasing stakeholders where production or
inventory information affects customer delivery. - Escalate exceptions, delays and supply risks promptly, with clear information on the issue, impact and required next
action. - Participate in regular production and supply chain meetings and provide accurate status updates and follow-up
actions.
Systems
- Maintain and operate systems including Microsoft Office, Magento, Dear and Trello.
OH&S
