Role: Marketing Operations Manager (Marketo)
About the Role:
We're looking for a hands‑on Marketing Operations Manager to own our Marketo instance and run the process that moves engaged prospects and customers from marketing nurture programs to our Business Development team.
Our systems aren't integrated today. Marketo, Microsoft Dynamics (CRM), and Outreach (sales engagement) are connected by disciplined, manual data processes. A Salesforce migration is planned in 6+ months. This role keeps those processes accurate and compliant now, and helps build the connected version later.
What You'll Do
Run the Biweekly Nurture-to-BDR Cycle
- Build a new 100-250 contact cohort every week from install base and new business segments using Marketo smart lists and exclusion logic
- Manage engagement programs, streams and cadences, including 2 active streams plus long-term nurture (will evolve over time)
- Export BDR-ready contacts for import into CRM, maintaining several manual checks to ensure all leads get passed
- Import BDR outcomes from Dynamics and Outreach, and recycle contacts back into the right nurture
Own Data Movement Between Systems
- Run CSV exports and imports each cycle between Marketo, Dynamics and Outreach: exclusion lists, open-opportunity suppression, and outcome updates
- Deduplicate, normalize and validate every list before it's loaded anywhere
- Keep a dated, auditable file trail of every cycle
Protect Compliance
- Sync unsubscribes, opt-outs and GDPR deletion requests in both directions between Marketo and Outreach
- Maintain suppression lists and consent fields. Flag risks before they become problems
Build and Maintain in Marketo
- Set up programs, smart campaigns (trigger and batch), tokens, custom fields, scoring rules and email templates
- Build and QA emails, including merge tokens, rendering, links, UTMs and seed tests
- Keep the instance clean: naming conventions, folder structure, archiving
Report and Improve
- Track results for each cohort: BDR-ready rate, hot-lane share, meeting rate, pipeline, and time to handoff
- Recommend changes to scoring thresholds and segments based on results
- Document every process in a runbook that someone else could follow
Prepare for Salesforce Migration
- Map fields, statuses and program data for the migration, and support testing of the Marketo- Salesforce sync
Required Skills & Experience
- 3-5+ years of hands-on Marketo work, including engagement programs, smart lists, smart campaigns, tokens, lead scoring, and list import/export. Marketo Certified Expert strongly preferred
- Strong data skills in Excel or Google Sheets: XLOOKUP/VLOOKUP, deduplication, pivot tables, cleaning messy CSVs. Power Query is a plus
- Experience with at least one CRM (Dynamics or Salesforce), including exports, reports and field mapping
- Experience with a sales engagement tool (Outreach or Salesloft), especially prospect imports and field mapping
- Working knowledge of email compliance: GDPR, CAN-SPAM, and the Philippine Data Privacy Act, plus how suppression and consent work across systems
- B2B marketing background, ideally in technology or technical products with sales-assisted buying cycles
- Fluent written English - you'll QA customer-facing emails and write process documentation
- Very detail-oriented and dependable on routine work. A missed suppression step becomes a compliance issue
Nice to Have
- Experience with a Marketo-Salesforce integration or a CRM migration
- HTML/CSS for email templates
- Familiarity with GA4, UTM taxonomy, or BI tools like Looker Studio
- Experience working remotely with a US-based team
What Success Looks Like
- In 30 days: Runs the full biweekly cycle from the runbook with review
- In 60 days: Runs it independently, with zero compliance misses and clean imports
- In 90 days: Is suggesting improvements to scoring, segments, and process, and has started mapping fields for the Salesforce migration
