Job summary

VAP is seeking a PMO Specialist to support project management operations in the Philippines. You will help ensure projects are planned, tracked, and executed efficiently, monitor timelines, manage documentation, and produce reports for leadership.

The ideal candidate will have PMO experience, strong knowledge of project management principles, and proficiency with PM tools. You will work to align projects with business objectives and delivery standards in a dynamic offshore staffing environment.

Qualifications

• With years of experience supporting project management or PMO functions in the following areas: legal (PH government) and transition projects
• Strong knowledge of project management principles, frameworks, and methodologies
• Experience with project tracking, reporting, and risk management
• Familiarity with PM tools such as Monday.com, Asana, Jira, Trello, MS Project, or Smartsheet
• Proficient in Microsoft Office or Google Workspace for reporting and documentation
• Excellent organisational, communication, and stakeholder management skills
• Ability to manage multiple projects and priorities independently
• Comfortable preparing dashboards, status reports, and presentations for leadership
• Highly analytical, detail-oriented, and proactive in identifying risks or bottlenecks
• Experience in process improvement or project governance is advantageous

Responsibilities

• Maintain project schedules, plans, and status reports
• Track project deliverables, milestones, and key performance indicators
• Support project managers in documentation, reporting, and compliance requirements
• Identify project risks and elevate appropriately
• Facilitate project meetings, take minutes, and follow up on action items
• Ensure standardised processes, templates, and project documentation are maintained
• Support cross-functional teams to improve project execution and alignment
• Prepare executive-level project summaries and dashboards
• Analyse project performance and provide insights for decision-making.
