Emapta is seeking a Payroll & Finance Specialist to establish reliable U.S. payroll for a small business and support accurate financial administration. This permanent remote role offers weekends off and collaboration with a business owner while developing a long-term global career with Emapta, designed for top 1% professional talent.

Ideal candidates have 3-5 years of U.S. payroll experience, hands-on setup ability, and strong Excel/Google Sheets skills.

Qualifications

• 3-5 years of U.S. payroll experience for small businesses or agencies.
• Hands-on U.S. payroll setup experience for a small business.
• Solid understanding of U.S. payroll fundamentals and classifications.
• Experience transitioning from manual pay to a payroll system is a plus.
• Exposure to accounts payable, bookkeeping or HR admin is beneficial.

Responsibilities

• Set up payroll for a U.S. small business from scratch with platform selection.
• Onboard all employees to the new payroll system.
• Prepare accurate payroll each cycle for owner approval and timely processing.
• Manage payroll tax withholdings, remittances and filings.
• Maintain confidential payroll records and support related accounting tasks.
• Assist with accounts payable, bookkeeping, and general administrative duties as needed.

Qualifications

Experience

• 3-5 years of U.S. payroll experience, ideally for small businesses or agencies
• Hands-on experience setting up payroll for a U.S. small business is required
• Solid understanding of U.S. payroll fundamentals, including pay cycles, deductions, withholdings, and employee versus contractor classification
• Experience transitioning a business from manual pay to a payroll system is a strong plus
• Exposure to accounts payable, bookkeeping, general ledger accounting, or HR administration is a plus

Technical Skills

• Hands-on experience with at least one U.S. small-business payroll platform: Gusto, ADP RUN, Paychex Flex, or QuickBooks Payroll
• Familiarity with OnPay, Rippling, Square Payroll, or Patriot Payroll is a plus
• Knowledge of QuickBooks Online or Xero is a plus
• Strong Excel and Google Sheets skills
• Proficiency in payroll data entry

Soft Skills

• High attention to detail and accuracy, with discretion when handling sensitive compensation data
• Self-directed approach, with the ability to establish structure and processes where none currently exist
• Clear, proactive communication skills for working directly with a small-business owner
• Strong organizational skills, dependability, and ability to meet deadlines

Responsibilities

• Set up payroll for a U.S. small business from scratch, including selecting and configuring the payroll platform, completing federal and Florida employer tax setup, collecting employee forms such as W-4s, and connecting banking and tax filing services.
• Onboard all employees onto the new payroll system.
• Prepare accurate payroll each cycle for owner approval and process it on time.
• Manage payroll tax withholdings, remittances, and filings.
• Maintain accurate and confidential payroll and employee records.
• Support accounts payable, general ledger maintenance, bookkeeping, payroll-related HR administration, and general administrative tasks for the owner as capacity allows.
