Position Overview

The Operations Officer keeps day-to-day operations running smoothly and reliably. The role supports logistics and delivery, inventory monitoring, reporting, store and field operations, process improvement, and compliance, and ensures that orders are dispatched and delivered on time, stock records are accurate, and company policies and SOPs are followed.

The Operations Officer works closely with the logistics, sales and admin teams, the warehouse team, and retail partners, using the inventory and stocktake systems to maintain accurate data. The role is expected to give clear direction to the warehouse team, hold them to established protocols, and continually look for ways to improve efficiency, accuracy and cost.

Key Responsibilities

1. Operational Support & Coordination

• Coordinate with the logistics, sales and admin teams to keep operations running smoothly.
• Roll out new and updated policies and SOPs on time.
• Complete assigned operational tasks by their deadlines.

2. Logistics & Delivery Management

• Oversee dispatch and delivery of orders within SLA.
• Resolve logistics issues such as delayed or failed deliveries.
• Make accurate bookings (correct addresses, times and delivery partners).
• Maintain correct delivery logs and shipment records.

3. Inventory Monitoring

• Monitor inventory accuracy by comparing physical counts vs. system records.
• Investigate and resolve inventory discrepancies.
• Manage stock replenishment from stock-out alert to restocking.
• Make inventory adjustments only with proper documentation and approvals.

4. Documentation & Reporting

• Prepare and submit required operational reports on time, including transportation expenses, warehouse pallets and stockouts.
• Ensure reports are accurate and need no corrections.
• Keep records and documentation well organized for audit.

5. Field Operations & Store Support

• Conduct planned store and warehouse visits on schedule.
• Set up and execute in-store events.
• Check that stores, field sites and retailers meet operational standards.

6. Process Improvement

• Propose process improvement ideas regularly.
• Implement approved improvements.
• Track operational cost savings, including sales vs. logistics and warehouse costs.

7. Compliance & Risk Management

• Ensure activities comply with company policies and regulations.
• Report incidents within the defined time window.
• Mitigate identified risks within SLA.
