Onward Worldwide Management & Consultancy is seeking an Operations Manager to oversee performance, maintenance, and daily operations of multiple properties. You will supervise Security, Housekeeping, Fleet Management, and Real Estate Technicians, ensuring efficiency, safety, and cost effectiveness across sites.
The role also covers Property Management for residential/commercial assets and Construction Project Management, with a focus on service quality and cross-functional alignment.
We are seeking a highly capable Operations Manager to oversee the performance, maintenance, and daily operations of multiple properties within our portfolio. This role is responsible for managing key operational departments — including Security, Housekeeping, Fleet Management, and Real Estate Technicians (Engineering) — to ensure all sites operate efficiently, safely, and cost-effectively.
In addition, the Operations Manager will supervise the day-to-day activities of Irealogics’ core business units, which include Property Management for both residential and commercial assets, as well as Construction Project Management. The role is critical in maintaining service quality, operational consistency, and alignment with company standards across all deployed teams and active projects.
Success in this position requires strong leadership, disciplined organizational skills, and the ability to manage complex, cross-functional priorities across multiple locations.
Key Responsibilities:
1. Portfolio & Operations Management
Manage daily operations across multiple commercial and residential sites;
Develop and implement standard operating procedures, preventive maintenance plans, and performance tracking systems;
Conduct regular site audits to ensure operational consistency, safety compliance, and high service standards;
Coordinate property-level capital projects and repair schedules;
2. Shared Services Management
Supervise the performance of Shared Services teams: housekeeping, security, building and office administration, fleet and shuttle, messengerial, interior design, technical, and engineering.
Oversee job requests, deployment schedules, and workload assignments to ensure timely and efficient service delivery.
Review and validate service reports, manpower utilization, and maintenance logs.
Coordinate with Purchasing and other support units for vendor requests and compliance with service standards.
Implement service delivery benchmarks and monitor KPIs for both in-house and outsourced teams.
3. Construction and Project Coordination
Coordinate with Project Managers and Engineers to ensure on-time, cost-effective completion of construction and fit-out projects.
Monitor project schedules, budgets, and quality compliance.
Review and validate project updates, progress reports, and completion milestones.
Oversee and review cost estimates, BOQs, and service-fee proposals for maintenance and project works before endorsement to the DGM/COO.
4. Departmental Oversight
a. Security
Supervise all in-house and outsourced security personnel across the portfolio.
Establish deployment plans, post orders, and incident management protocols.
Conduct regular security audits and ensure compliance with PNP SOSIA regulations.
Oversee CCTV systems, access control, and emergency response coordination.
b. Housekeeping
Direct and monitor all housekeeping activities for building interiors, common areas, and surroundings.
Implement cleaning schedules and inspection checklists.
Manage consumables and manpower allocation across sites to optimize efficiency and quality.
c. Fleet Management
Supervise the fleet operations including vehicles, drivers, maintenance, and fuel control.
Implement vehicle tracking, usage reporting, and preventive maintenance schedules.
Monitor cost efficiency and ensure readiness of all service vehicles.
d. Real Estate Technicians / Engineering
Lead the team of technicians responsible for electrical, mechanical, plumbing, and civil systems.
Approve and track work orders, PM schedules, and emergency repairs.
Maintain compliance with fire, electrical, and building codes.
Ensure all systems are operating safely and within efficiency standards.
5. Team Leadership
Lead, train, and evaluate cross-functional staff assigned to each property.
Conduct coordination meetings with department heads and site supervisors.
Plan and adjust manpower deployment across sites based on operational demands.
Promote a results-oriented, disciplined, and safety-focused culture.
6. Financial Management
Prepare and manage consolidated budgets for all properties and operational departments.
Control OPEX, monitor vendor expenses, and evaluate cost-saving measures.
Review financial and operational reports and ensure timely submission to management.
Maintain accuracy in billing, purchasing, and documentation for transparency and audit readiness.
7. Compliance & Risk Management
Ensure all sites meet government, environmental, and safety regulations.
Oversee permits, insurance, and statutory renewals (BFP, DOLE, PNP, LGU).
Conduct periodic risk assessments, safety drills, and emergency preparedness exercises.
Maintain accurate compliance records and incident documentation.
8. Reporting & Coordination
Consolidate monthly operations reports across all properties and departments.
Provide summaries on performance indicators, cost efficiency, and manpower utilization.
Present portfolio dashboards and improvement recommendations to ownership.
9. Building and Office Administration
Oversees the performance and coordination of building and office administrative activities, ensuring efficient execution by assigned administrative staff.
Supervising maintenance scheduling, tenant support, and the upkeep of facilities and common areas.
Ensures the timely dissemination of PMO circulars, memos, and advisories, and manages office space planning, renovation coordination, and workspace upkeep.
Supervises gate pass processing for employees, visitors, suppliers, and contractors, ensuring full compliance with building and company security protocols.
Qualifications:
Bachelor’s degree in Property Management, Facilities Management, Engineering, or Business Administration.
Minimum 8+ years of experience in property operations, with at least 3 years in multi-site or multi-department leadership.
Strong understanding of building systems, maintenance practices, and regulatory requirements.
Proven leadership skills in managing diverse, multi-site teams.
Excellent organizational, communication, and problem-solving skills.
Proficiency in MS Office and property management software (Yardi, Buildium, MRI, or equivalent).
Fluent in English; Tagalog proficiency preferred.
