The Qualifications We Seek
Qualifications
- 2 to 5 years of experience in project administration, administrative support, customer service, project coordination, or a related role
- Fluent written and verbal English communication skills
- Strong attention to detail and commitment to accuracy
- Excellent organizational, time management, and multitasking skills
- Strong ability to manage multiple priorities and meet deadlines
- Proficiency in Microsoft Outlook, Microsoft Teams, and Microsoft Excel, including basic functions
- Strong ability to learn new systems and business processes quickly
- Strong problem-solving, analytical, and professional communication skillsAbility to work independently while following established procedures
Preferred Qualifications
- Background in customer service or administrative support
- Familiarity with databases, project management systems, or CMMS platforms
- Experience supporting internal and external stakeholders in a professional environment

Your Daily Tasks
Project Administration & System Management
- Review project information for completeness and accuracy before system setup
- Coordinate with internal project teams to obtain required project documentation and information
- Create and maintain project records within the CMMS platform
- Add and update client, trade partner, user, and project information
- Activate, deactivate, and archive project phases based on project requirements
- Maintain organized project documentation and electronic records
Client & Internal Support
- Respond to client and internal team inquiries regarding the CMMS platform
- Provide basic user support and troubleshoot system navigation issues
- Escalate complex issues to the warranty management team as needed
- Communicate warranty walkthroughs, project closeout activities, and outstanding project updates
Warranty Lifecycle Support
- Complete recurring project administration tasks throughout the warranty period
- Maintain accurate records of project updates and warranty-related activities
- Monitor assigned tasks and ensure project milestones remain on schedule
- Support project closeout and archive activities at the end of the warranty period
Reporting & Documentation
- Generate and save monthly reports in accordance with established procedures
- Maintain organized electronic project files and documentation
- Ensure project data remains accurate, complete, and up to date within the system
