Job summary

Magnum Ice Cream Company in Metro Manila is seeking a Merchandising Operations Assistant to support all operational, administrative, and compliance tasks. You will help ensure programs are delivered on time, within budget, and with thorough documentation.

You will coordinate with field sales, manage COUPA requests, tracking POs, and maintain tracking spreadsheets while safeguarding inventory and trade materials. The role is fixed-term for 2 years and requires strong organizational skills.

Responsibilities

• Operational Support & Administration: assist merch planning, manage day-to-day operations, COUPA requests, PO tracking, and supplier coordination.
• Execution Follow-Through: coordinate with Field Sales and Customer Teams for program implementation; collect trade letters, execution photos, and compliance documents; lead deployment logistics.
• Documentation & Governance: file and reconcile POs, IOs, trade letters; track inventory of merchandising materials; assist in retrieval of POS materials.
• Reporting & Support: prepare program status reports and trackers; ensure timely and budget-aligned execution; oversee inventory reallocation and disposal.

The role

The Merchandising Operations Assistant enables flawless execution of merchandising programs by managing all operational, administrative, and compliance processes. This role ensures that merchandising initiatives are delivered on time, within budget, and with complete documentation. Acting as the backbone of merchandising operations, the Merch Operations Specialist supports governance, reporting, and execution follow‑through, ensuring that strategic plans translate into consistent, high‑quality trade activation.

What You\'ll Be Responsible For

Operational Support & Administration

• Assists in merch planning to support merch executive, especially for non-pareto activations and events (Festivals).
• Manage day‑to‑day merchandising operations, including COUPA raising, PO tracking, and supplier coordination.
• Secure merchandising allocations per customer group, including ship‑to details and material allocations.
• Maintain Excel trackers for top‑down allocations and budget monitoring.

Execution Follow‑Through

• Coordinate with Field Sales and Customer Teams to monitor program implementation.
• Collect trade letters, execution photos, and compliance documents.
• Leads deployment logistics from warehouse to agency to customer.

Documentation & Governance

• File and reconcile project documents (POs, IOs, trade letters) for audit readiness.
• Track inventory of merchandising materials, ensuring reallocation or disposal as directed.
• Assist in retrieval of time‑bound POS materials.

Reporting & Support

• Prepare program status reports and trackers for stakeholder updates.
• Provide reliable operational support to ensure strategic plans are executed on time and within budget.
• Lead inventory management, reallocation, and disposal of materials.

• Has experience in trade marketing or merchandising operations support and can operate confidently in the fast-moving consumer goods industry
• Is able to manage multiple projects at the same time
• Brings strong organizational and administrative skills

• Is comfortable working in a fast-moving, evolving organisation
• Values collaboration, clarity and low-ego ways of working
• Is amenable for a fixed-term contract of 2 years
