Our clientis a major body piercing and jewellery retail chain with over 110 studios across Australia and New Zealand. We are seeking aMerchandise Coordinator who will be responsible for the end-to-end administration of purchase orders and supplier relationships on behalf of the client's Planning & Buying team. This role is the operational backbone of the order cycle, ensuring product is placed, tracked, and received accurately and on time to service the client's 100+ store and ecommerce network.
This is a process-driven, high-accuracy role suited to someone with strong ERP skills, excellent attention to detail, and the ability to manage multiple supplier relationships simultaneously. The Merchandise Coordinator works closely with the Planning & Buying team, warehouse, and suppliers to keep the supply chain running smoothly and stock data accurate at all times.
About the Role
Order management
- Create and place product orders with suppliers in line with buying team direction and trading calendars.
- Monitor ex-factory dates and supplier SLAs, proactively following up to ensure on-time delivery.
- Manage all order changes including date amendments, quantity adjustments, and cancellations within the ERP system.
- Ensure payment terms are accurately recorded and flagged to the finance team ahead of due dates.
- Maintain a clear and up-to-date order book, providing the buying and planning team with accurate visibility of committed stock at all times.
- Act as the primary day-to-day operational contact for suppliers on order queries, confirmations, and amendments.
- Build and maintain strong working relationships with suppliers to ensure responsive communication and reliable execution.
- Escalate supplier performance issues — including SLA breaches and quality concerns — to the relevant Buyer in a timely manner.
ERP & data management
- Create and maintain item records in the ERP system, ensuring product, pricing, and supplier data is accurate and complete.
- Process stock movements within the ERP including receipting, transfers, and adjustments.
- Maintain accurate product and pricing data within merchandising and ERP systems at all times.
- Audit and correct data discrepancies to ensure system integrity across all order and product records.
Stock & warehouse coordination
- Work closely with the warehouse team on weekly stock arrivals, ensuring inbound shipments are tracked and receipted accurately.
- Produce stock management reports and communicate stock levels to the buying and planning team to prevent out-of-stock situations.
- Monitor stock levels across locations, flagging potential overstocks, understocks, or replenishment needs to the Merchandiser.
- Support the broader planning and buying team with stock-related administration and ad hoc reporting as required.
Other tasks
- Respond promptly to all communications, on the same day they are received.
- Keep task trackers and order records up to date, with actions completed and documented in a timely manner.
- Continuously look for ways to improve order management processes and data accuracy.
- Any other tasks reasonably delegated by your manager.
About You
- Tertiary qualifications in Business, Commerce, Supply Chain, or a related field
- 2+ years' experience in a purchase order management, procurement administration, or supply chain coordination role.
- Experience in retail, fashion, jewellery, accessories, or lifestyle product categories preferred.
- Strong working knowledge of ERP systems, with experience in order entry, item creation, and stock movements (NetSuite, Cin7, or similar preferred).
- High proficiency in Microsoft Excel including data management, filtering, and reporting.
- Exposure to import and international supply chain processes including ex-factory tracking and freight coordination.
- Excellent attention to detail with a methodical and structured approach to data entry and record-keeping.
- Strong communication skills with the ability to manage multiple supplier relationships professionally and effectively.
- Ability to work independently, managing priorities without close supervision.
