Job summary

Panda Logistics Inc. in Makati City, Metro Manila is seeking a highly motivated Operation Officer to join our team.

This full-time role focuses on coordinating shipments, preparing documents, and ensuring accurate billing and status updates for import/export operations. You will work with clients, shipping lines, co-loaders, overseas agents, truckers, and customs brokers, ensuring timely and compliant execution of shipments.

Qualifications

• Bachelor’s degree in Logistics or related field.
• Fresh graduates are welcome to apply.
• Basic knowledge of Microsoft Outlook and other Microsoft Office applications.
• Experience in logistics or freight forwarding is an advantage but not required.
• Knowledge of Inward Foreign Manifest, E-Trade, CDEC, and shipping documentation is an advantage.
• Knowledge of using an operations or accounting system is a plus.
• Good written and verbal communication skills in English.
• Keen attention to detail when preparing and checking shipping documents and shipment information.
• Good coordination and customer service skills when dealing with clients, shipping lines, overseas agents, truckers, and customs brokers.
• Open to cross-training and assignment to different functions including Import and Export operations.

Responsibilities

• Coordinate with clients, shipping lines, co-loaders, overseas agents, truckers, and customs brokers regarding shipment requirements and arrangements.
• Create shipment files and import shipment data into the company's system, ensuring all shipment details are accurate.
• Prepare and create Bills of Lading (B/L) through shipping line systems and the company's own system.
• Determine and verify the Master Bill of Lading (MBL) and House Bill of Lading (HBL) based on shipment arrangements.
• Prepare and submit E-Manifests through the E-Trade system, ensuring accuracy and on-time submission.
• Request and follow up on arrival details, billing statements, and Delivery Orders (DO).
• Prepare and check shipping documents including Bills of Lading, commercial invoices, packing lists, and other relevant documents.
• Monitor shipment status, vessel schedules, cargo arrivals, and delivery arrangements, providing timely updates.
• Prepare and issue billing to clients and overseas agents, ensuring charges are recorded correctly.
• Respond to client inquiries and coordinate resolutions with relevant parties.
• Maintain complete and organized shipment records and supporting documents.
• Perform other duties related to Import and Export operations as assigned.
