Position Overview

The Inventory Associate is responsible for monitoring, recording, and maintaining accurate stock levels of medical supplies, equipment, and pharmaceuticals in the healthcare facility. This role ensures that essential materials are available at all times to support patient care, while adhering to hospital policies, safety standards, and government regulations.

Key Responsibilities

• Receive, verify, and record deliveries of medical supplies, equipment, and pharmaceuticals.
• Monitor stock levels and update inventory records using manual logs or hospital inventory systems.
• Conduct regular cycle counts and assist in monthly/quarterly physical inventory.
• Ensure proper labeling, storage, and handling of items according to healthcare standards.
• Coordinate with the purchasing department for replenishment of low-stock or fast-moving items.
• Track expiration dates of medicines and supplies; implement first-expiry, first-out (FEFO) and first-in, first-out (FIFO) systems.
• Prevent shortages and overstocking by maintaining optimal stock levels.
• Prepare and submit accurate inventory reports to the department head or supply chain manager.
• Document discrepancies, damages, or losses and coordinate with suppliers for resolution.
• Maintain compliance with Department of Health (DOH) and Food and Drug Administration (FDA) regulations.
• Work closely with nurses, doctors, and administrative staff to ensure timely availability of supplies.
• Support audits and inspections by regulatory agencies and accreditation bodies.

Qualifications
