Job summary

Staffing For Doctors is seeking an Intake Specialist for our outpatient mental health counseling practice in the Philippines. This role is the first contact for new clients and will drive a smooth intake experience.

You will manage the intake pipeline in ADMIRA, schedule appointments in Simple Practice, and verify insurance for clients. The position requires quick response times, strong phone presence, and precise CRM updates to keep leads moving toward appointments.

Qualifications

• Prior experience in a medical or mental health intake, front desk, or patient coordination role.
• Experience with lead response and CRM pipeline management — meet response-time targets.
• Experience with insurance verification, including manual verification through payer portals.
• Excellent phone presence — warm, clear, and reassuring with clients.
• Strong organizational skills; manage live calls, scheduling, and CRM updates without stale leads.

Responsibilities

• Lead response & CRM management: contact new inquiries within 1 hour; manage pipeline in ADMIRA; mark leads complete or lost within 7 days.
• Phones & scheduling: handle inbound/outbound calls; guide new clients to start; schedule intakes in Simple Practice.
• Insurance verification: verify coverage for new clients, assist self-pay clients with cost info; use Availity as fallback when needed.
