Job summary

Crewbloom, Inc. is seeking an Intake Specialist to support the full intake cycle for ABA therapy clients in the Philippines.

You will capture referrals, verify eligibility, gather documentation, and assist with authorization workflows to move referrals to active service. The ideal candidate is organized, compassionate, and detail-oriented, with the ability to navigate health insurance processes in a regulated environment.

Qualifications

• High school diploma or equivalent required; Associate's or Bachelor's degree in Healthcare Administration, Human Services, Business, or related field preferred.
• Minimum 1–2 years of healthcare intake, patient access, insurance coordination, or administrative support experience.
• Working knowledge of health insurance terminology (prior authorizations, eligibility verification, EOBs, Medicaid managed care).
• Strong organizational skills and ability to manage multiple active cases with accuracy.
• Excellent written and verbal communication, with compassionate family interactions.
• Proficiency in Microsoft Office and/or Google Workspace; able to learn new intake/tracking systems quickly.
• Strict adherence to HIPAA and confidentiality standards.

Responsibilities

• Handle referral intake and processing across channels (phone, fax, email, portals) in real time.
• Assist with prior authorization submissions for Medicaid, managed care, and commercial payers; track status updates.
• Coordinate with clinical staff to collect required documentation for authorizations and flag cases requiring Special Case Agreements (SCA).
• Communicate intake status and next steps to families; address inquiries and convey delays or payer requirements.
• Maintain accurate records in intake tracking systems and conduct routine audits for data integrity.
• Collaborate with billing, clinical, and scheduling teams to ensure smooth handoff from intake to active service; participate in cross-department coordination.
• Adhere to HIPAA and confidentiality policies in handling client records.
