Job summary

Hammerjack Pty Ltd is seeking an Insurance Coordinator to join our team in Eastwood, QC. You will manage insurance documentation across the US mortgage loan pipeline, ensuring full compliance, proper coverage, and smooth collaboration between homeowners, insurers, and internal teams.

Qualifications

• Minimum Experience: 1+ years of experience as a Mortgage Processor, Escrow Assistant, Insurance Agent, or in a closely related administrative/processing role.
• Direct background in US Real Estate and/or Mortgage Processing is a plus.

Responsibilities

• Insurance Documentation Management: Order, upload, and organize homeowner, flood, and condo master insurance policies.
• Coverage Verification & Review: Verify accuracy and ensure adequate coverage.
• Pipeline & Docket Management: Use status reports to prioritize active dockets toward closing.
• Homeowner & Vendor Communication: Gather required documents and resolve insurance issues.
• Issue Escalation: Elevate complex orders or discrepancies to the appropriate parties.
• Cross-Functional Collaboration: Work with processors, closers, and funders to move applications to closing.
• Post-Closing Support: Assist servicing with updating the loss payee after funding.
• Compliance & Continuous Learning: Adhere to policies and regulations while expanding processing skills.

Job Title: Insurance Coordinator

Position Overview

We are looking for a detail-oriented and customer-focused Insurance Coordinator to join our team. In this role, you will play a critical part in managing insurance documentation throughout the US mortgage loan pipeline and ensuring full compliance, adequate coverage, and seamless collaboration between internal teams, homeowners, and insurance vendors.

Key Responsibilities

• Insurance Documentation Management: Order, upload, and organize homeowner, flood, and condo master insurance policies using Calyx Point and other proprietary processing systems.


• Coverage Verification & Review: Review insurance documents thoroughly to verify accuracy, correct loss payee clauses, and ensure adequate coverage according to company and regulatory standards.


• Pipeline & Docket Management: Utilize status reports to prioritize active dockets, assisting processing and closing teams in moving files efficiently toward loan closing.


• Homeowner & Vendor Communication: Communicate and follow up promptly with homeowners and insurance providers to gather required documentation, resolve property insurance issues, and manage insurance orders.


• Issue Escalation: Identify and elevate complex insurance orders or title/coverage discrepancies to the appropriate parties in a timely manner.


• Cross-Functional Collaboration: Partner closely with internal processors, closers, and funders to drive applications across the finish line smoothly.


• Post-Closing Support: Assist the servicing department with updating or amending the loss payee once loan funding has occurred.


• Compliance & Continuous Learning: Ensure strict adherence to company policies, industry regulations, and legal guidelines while continually expanding your mortgage processing and pipeline management skills.

Qualifications & Requirements

Education & Experience

• Minimum Experience: 1+ years of experience as a Mortgage Processor, Escrow Assistant, Insurance Agent, or in a closely related administrative/processing role.

Preferred Experience (Nice to Have)

• Direct background in US Real Estate and/or Mortgage Processing.

Hard Skills

• Primary Skills:


• Proficiency in mortgage LOS software (e.g., Calyx Point) and insurance policy validation.


• Fluency in Microsoft Office Suite and/or Google Workspace (Docs, Sheets, Drive).


• Preferred Skills (Nice to Have):


• Prior experience using real estate fintech software or automated document routing platforms.
