Job Description
This role plays a central role in keeping our agency organized, compliant, and running smoothly. This position blends administrative support, operational coordination, and light IT oversight. You’ll manage internal documentation, help us stay compliant with regulatory and contractual requirements, assist in the B Corp recertification process, and provide hands-on support for internal systems like SharePoint and Microsoft 365. This role is ideal for someone who thrives in a detail-oriented, behind-the-scenes role and enjoys creating structure and clarity in fast-paced, growing organizations.
Key Responsibilities
- Administrative & Operational Support
- Assist with updating the employee manual and internal policies
- Track software subscriptions, costs, and renewal dates
- Help manage the B Corp recertification process, coordinating with relevant stakeholders
- Review and update contractor agreements in collaboration with leadership
- Coordinate with the bookkeeper to track and review contractor timesheets
- Support the transition from our current PEO to a new provider (e.g., CentralHQ), ensuring smooth onboarding and compliance in all states
- Compliance & Documentation
- Support documentation of internal policies, compliance procedures, and vendor agreements
- Conduct light compliance audits and assist with identifying process improvements
- Serve as liaison to external consultants or auditors during compliance and recertification projects
- Systems & Knowledge Management
- Help organize and maintain SharePoint file structures and internal documentation
- Convert the internal knowledge base into a user-friendly SharePoint wiki
- Train team members on basic use of SharePoint, Microsoft 365, and other internal tools
- Continuously assess and recommend improvements to workflows and tools to streamline operations
- Experience & Skills
- 3+ years experience in operations coordination, administration, HR support, or a related role
- Strong attention to detail and ability to manage multiple moving parts and deadlines
- Experience maintaining internal documentation, employee manuals, and contracts
- Comfortable using and organizing digital tools such as Microsoft 365, SharePoint, and Google Workspace
- Excellent communication, project coordination, and follow-through skills
- Comfortable working independently in a remote-first team
- Interest in compliance, organizational development, and continuous improvement
Preferences
- Experience in a small business, nonprofit, or digital agency environment
- Familiarity with B Corp certification or similar organizational assessments
- Exposure to compliance areas like GDPR, SOC 2, or vendor risk management (light, not required)
- Experience supporting transitions between HR/payroll systems or PEOs
