Qualifications

• Strict adherence to privacy and security standards like HIPAA

Responsibilities

• Schedule medical, surgical, and cosmetic appointments following provider protocols
• Identify appointment types and schedule with appropriate providers
• Optimize provider schedules to reduce gaps and maximize utilization
• Handle urgent requests and triage scheduling needs appropriately
• Confirm patient demographics and update records in Nextgen EHR
• Provide patients with preparation instructions and assist with portal enrollment
• Communicate with patients via phone, text, and portal messages
• Answer questions on schedules, billing, and referrals
• Monitor and respond to voicemails within turnaround times
• Maintain reminder systems, wait lists, and self-scheduling programs
• Coordinate across teams to resolve scheduling or insurance issues
• Escalate complex patient concerns and participate in team meetings and workflow improvements
