XtendOps is looking for an experienced HRIS Administrator with hands-on UKG experience to manage and maintain HR information systems, employee data, HR transactions, reporting, and system-related processes supporting our US-based BPO campaigns and accounts.
The ideal candidate has strong hands-on experience with UKG Pro, UKG Ready, or a similar UKG platform, with a solid understanding of HRIS administration, employee data management, system configuration, reporting, and data integrity.
Previous experience supporting a US-based BPO account, campaign, client, or workforce is required. Experience supporting a medical, healthcare, healthcare insurance, or medical services campaign is highly preferred.
The HRIS Administrator will work closely with HR, Payroll, Operations, Talent Acquisition, Workforce Management, IT, and US-based stakeholders to ensure HR systems remain accurate, reliable, and aligned with business requirements.
Key Responsibilities
HRIS Administration
- Administer and maintain employee information within UKG and other HR systems.
- Perform employee data transactions, including new hires, transfers, promotions, organizational changes, leave/status changes, and terminations.
- Maintain accurate employee records and ensure HRIS data is complete and up to date.
- Review HRIS transactions for accuracy and completeness.
- Monitor system data and identify discrepancies, duplicate records, or missing information.
- Ensure HRIS records accurately reflect employee lifecycle changes.
- Maintain appropriate system documentation and process records.
- Support HRIS-related projects, enhancements, and process improvements.
UKG Administration
- Perform day-to-day administration of UKG Pro, UKG Ready, or applicable UKG modules.
- Maintain employee profiles, job information, organizational structures, and other HR data.
- Support system workflows and HR transactions.
- Assist with configuration and maintenance of HRIS settings, where applicable.
- Manage user access and permissions based on established company policies.
- Troubleshoot basic UKG issues and coordinate with internal teams or UKG support when escalation is required.
- Test system changes, updates, and enhancements before implementation.
- Maintain documentation for UKG processes and system procedures.
- Support system upgrades, releases, and changes that impact HR operations.
HRIS Data Management & Integrity
- Conduct regular audits of HRIS data to ensure accuracy and consistency.
- Perform data validation, reconciliation, and quality checks.
- Identify and correct data discrepancies in coordination with HR and other stakeholders.
- Maintain data integrity across UKG and other connected HR systems.
- Monitor employee data changes and ensure appropriate approvals and documentation are completed.
- Ensure data is handled securely and confidentially.
Reporting & Analytics
- Create and maintain recurring and ad hoc HRIS reports.
- Generate reports related to employee headcount, turnover, employee status, organizational structure, timekeeping, attendance, and other HR metrics.
- Support HR and leadership with accurate HRIS data for business reporting and decision-making.
- Perform data extracts and reconciliation as required.
- Assist in developing standardized HRIS reports and dashboards.
- Validate report outputs and investigate data inconsistencies.
US BPO Account / Campaign Support
- Support HRIS requirements for US-based BPO campaigns, accounts, and workforces.
- Coordinate with US-based HR, Payroll, Operations, Workforce Management, and client stakeholders.
- Ensure HRIS transactions are completed according to account-specific processes and deadlines.
- Support employee data requirements across multiple campaigns or business units.
- Work with stakeholders across different US time zones as required.
- Maintain accurate and timely communication regarding HRIS requests and issues.
- Ensure system processes support the operational requirements of US-based accounts.
Medical / Healthcare Campaign Support
- Support HRIS administration for employees assigned to medical, healthcare, healthcare insurance, or medical services campaigns, when applicable.
- Maintain accurate employee information for healthcare-related accounts.
- Handle employee information with an appropriate level of confidentiality and care.
- Support account-specific HRIS reporting and documentation requirements.
- Coordinate with HR and Operations regarding employee status, records, and system requirements.
- Follow company and client requirements for handling sensitive employee information.
Onboarding & Offboarding
- Ensure new-hire information is accurately entered and maintained in UKG.
- Support HRIS activities related to employee onboarding and account assignment.
- Process employee transfers, promotions, status changes, and other lifecycle transactions.
- Process employee separations and ensure appropriate system updates are completed.
- Coordinate with HR, Payroll, IT, Operations, and Talent Acquisition to ensure timely system updates.
- Validate that employee records are properly updated throughout the employee lifecycle.
System Access & Security
- Maintain HRIS user access according to established authorization procedures.
- Support access provisioning and deactivation for HRIS users.
- Ensure terminated or transferred employees and users have appropriate system access changes.
- Maintain confidentiality of employee and organizational information.
- Follow internal security and data privacy procedures.
- Escalate potential system access or data security concerns appropriately.
Troubleshooting & Support
- Serve as a point of contact for HRIS-related questions and system concerns.
- Investigate HRIS issues and determine the appropriate resolution or escalation path.
- Work with HR, Payroll, Operations, IT, and system vendors to resolve system issues.
- Document recurring issues and recommend process improvements.
- Provide guidance to HR users on appropriate HRIS processes and system functionality.
Required Qualifications
- 2-4+ years of experience in HRIS administration, HR Operations, HR systems, or a related role.
- Hands-on experience administering UKG is required.
- Experience with UKG Pro and or UKG Ready
- Previous BPO experience is required.
- Previous experience supporting a US-based BPO account, campaign, client, or workforce is required.
- Experience managing employee data and HRIS transactions.
- Experience with HRIS reporting, data validation, and data reconciliation.
- Strong understanding of employee lifecycle processes.
- Strong proficiency in Microsoft Excel or Google Sheets, including data manipulation and reporting.
- Strong attention to detail and data accuracy.
- Strong analytical and problem solving skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential and sensitive employee information.
- Ability to manage multiple priorities and meet deadlines in a fast-paced BPO environment.
- Willingness to work on a schedule aligned with US business hours/time zones, depending on account requirements.
