Job summary

Jensen Hughes is seeking a Proposal Coordinator to support the Capture + Proposal Marketing function across the regional team. The role involves assisting with proposal development, production, and marketing materials, aligned with Strategy and Business Development; English proficiency is required.

You will organize submissions, manage templates, maintain client and project data, and collaborate with creative and technical experts to ensure timely and compliant proposals.

Qualifications

• Experience supporting architecture, engineering or construction (AEC) firms.
• Proficient in MS Office suites – Outlook, Excel, Word, PowerPoint, SharePoint, and Teams; Proficiency in MS Planner is a plus; as well as proficient in Adobe and InDesign.
• Ability to manage and execute responses to RFPs, RFIs, RFPs based on market knowledge.
• Experience managing a high-volume of teaming requests and client-specific templates, and coordinating proposals with multiple deadlines.

Responsibilities

• Supports regional proposal team by assisting with proposal activities.
• Organizes, produces, and assembles proposal submissions, including RFIs, RFQs, RFPs, SOQs, marketing collateral and vendor registrations.
• Prepares draft proposals for review by the regional operations team.
• Contributes to building a repository of proposal materials specific to regional needs.
• Updates client and project information in the marketing project and personnel database, including project descriptions and staff resume updates.
• Liaises with internal experts to update Resume Short Bios and Expert Finder information for Website.
• Effectively collaborates between marketing, creative, and proposal teams internationally to update resources.
