Job summary

ZALORA SOUTH EAST ASIA PTE LTD is seeking an 1SS Executive to support day-to-day 1SS service operations in the Philippines. The role coordinates with brand partners and internal teams to ensure orders, inventory, returns, and billing activities are processed accurately and on time.

The ideal candidate will monitor operational performance, resolve routine issues, and escalate risks that may affect service levels or partner experience.

Qualifications

• Bachelor’s degree or equivalent experience in Business, Operations, Supply Chain, Logistics, or related field.
• Experience in e-commerce, fulfillment, marketplace operations, logistics, or account coordination is advantageous.
• Strong organizational skills and attention to detail with order, inventory, and billing data.
• Proficiency in Microsoft Excel or Google Sheets; experience with operational or order management systems is a plus.
• Clear written and verbal communication, with ability to coordinate across teams and external partners.
• Ability to manage multiple priorities, meet deadlines, and follow through on open issues.

Responsibilities

• Coordinate daily 1SS operations between brand partners and internal teams (Operations, Warehouse, Customer Service, Finance, Marketplace).
• Monitor order processing, fulfillment, dispatch, and delivery issues; follow up on delays and exceptions.
• Coordinate inventory updates, stock adjustments, SKU or product data changes.
• Create and maintain product listings and information in relevant systems; ensure accuracy.
• Create purchase orders based on approved requirements and coordinate corrections with teams.
• Support brand onboarding and operational readiness, gathering necessary information.
• Track returns, cancellations, lost/damaged items, and inventory discrepancies; route to the appropriate team.
• Prepare and validate operational and billing reports, remittance details, invoices, and supporting documents.
• Follow up on outstanding payables, claims, credit notes, and billing discrepancies with brand partners and Finance.
• Maintain records of operational issues, partner requests, decisions, and follow-up actions.
• Monitor service levels and KPIs; flag recurring issues and suggest process improvements.
• Provide updates to internal stakeholders and brand partners on open issues, risks, and action plans.
• Assist in creating and maintaining SOPs and partner-specific process documentation.
