Job summary

Deployed Philippines Inc. is seeking an administrative support specialist to deliver fast, friendly written assistance to clients via email and live chat and to guide onboarding with account exception handling.

The role focuses on accurate processing of KiwiSaver transfers, regulatory compliance, and precise documentation using HubSpot or similar CRM tools. You will work onsite, Monday to Friday from 6:00 AM to 3:00 PM, with leaves entitlement, HMO and life insurance provided on hire.

Qualifications

2–4 years of administrative experience (experience within New Zealand is an advantage).
Excellent written and verbal communication skills over email and chat.
Sound understanding of AML-CFT regulatory requirements and procedures.
Experience using HubSpot (or familiarity with similar CRM and support platforms like Zendesk or Intercom).
High attention to detail and precision in record keeping and compliance checks.
Proactive, self-motivated, and eager to take ownership of customer issues from start to finish.
Ability to learn, navigate, and execute processes within regulatory frameworks.

Responsibilities

Deliver fast, friendly, and accurate written support to clients via email and live chat, translating complex financial and technical concepts into simple language.
Guide clients through the on-boarding journey and manage account exceptions (such as specialized children's accounts).
Assist clients with KiwiSaver transfers and withdrawals, processing requests accurately within regulated time frames.
Perform daily operational compliance tasks.
Keep internal systems up to date and maintain accurate documentation for reporting and regulatory standards.
