Job summary

Marking Services, Inc. is seeking a File Support and Layout Specialist to create production‑ready layouts for commercial and industrial signage, pipe markers, and specialty products.

You will work with order entry, customer service, and sales teams to gather details and format files for printing. The role requires attention to detail, experience in data handling, and proficiency with Adobe Illustrator/Photoshop and CAD workflows.

Qualifications

• High School Diploma or equivalent required.
• Associates Degree preferred and/or equivalent relevant experience accepted.
• Minimum of two (2) years experience in a customer service and/or data entry role, preferably in manufacturing or construction.
• Experience in graphic arts and design is preferred.
• Proficient with Microsoft Office, especially Excel.
• Proven experience with Adobe Illustrator, Adobe Photoshop, Omega, Acrobat and Bluebeam.

Responsibilities

• Creates product layouts and production ready files for Commercial and Industrial customers.
• Collaborates with order entry, customer service, sales and in‑house support teams to gather customer, product and order details.
• Maintains understanding of MSI products, procedures, design methods, and production file formatting requirements.
• Proactively communicates with internal team members to gain clarification and ensure all deadlines are met.
• Reviews order details, technical data and product information provided.
• Filters and formats data into required production file templates.
• Assists production staff in procedures for files in order to meet customer specifications.
• Creates layouts for customer signage, pipe markers and other specialty products from hand rendering, scans or CAD files.
• Determines size and arrangement of illustrative material, copies, selects style and size, and arranges layout based upon space, knowledge of layout principles and esthetic design concepts.
• Prepares notes and instructions for production staff who assemble and prepare final layouts for printing.
• Troubleshoots and corrects errors as needed.
• Audits files and designs to ensure compliance with MSI policies, brand, identity and legal guidelines.
• Stores and maintains production ready and design files according to retention policies.

The File Support and Layout Specialist is responsible for creating, sorting and submitting production‑ready files using technical data, customer information and order details provided. This individual will also support with creating layouts for custom signage, pipe markers and specialty products. The File Support and Layout Specialist works closely with pre‑production and sales teams to gather the information necessary to create layouts, as well as create and format the production files to provide prior to order submission.

POSITION DUTIES AND RESPONSIBILITIES:

• Creates product layouts and production ready files for Commercial and Industrial customers.

• Responsible for storing and maintaining production ready and design files according to established retention policies.

KNOWLEDGE AND SKILL REQUIREMENTS:

• High School Diploma or equivalent required. Associates Degree preferred and/or equivalent relevant experience accepted.
• Minimum of two (2) years experience in a customer service and/or data entry role, preferably in a manufacturing or construction company.
• Previous experience in graphic arts and design preferred.
• Advanced working knowledge and experience with computers and programs, especially with Microsoft Office programs including Excel
• Proven experience utilizing Adobe Illustrator, Adobe Photoshop, Omega, Acrobat and Bluebeam preferred.
• Must be able to read, analyze, and interpret technical information.
• Demonstrated problem-solving, communication, multi‑tasking and organizational skills.
• Strong attention to detail with ability to identify discrepancies between information provided for one project.
• Ability to work independently with minimal supervision.
• Must be able to balance and achieve positive results in the areas of quality, accuracy, timeliness, reliability, productivity and housekeeping.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

There is little risk of injury. Position requires individual to sit for most of the work day. Work schedule may vary based on business demand. May require some additional hours when customer and order demands are at high levels. Consistent and regular attendance required.
