The Role
As our Facilities Management Coordinator, you will be responsible for coordinating repair, maintenance, property setup, and selected facilities-related projects across our portfolio. You will act as a central coordination point for guest damage repairs, general maintenance, third-party repair follow‑up, recurring property upkeep, furnishing and styling of new properties, and construction or improvement projects.
This is primarily a coordination, tracking, and execution‑support role rather than a hands‑on trade role. You will work closely with trades, vendors, suppliers, cleaners, logistics, onsite support, operations, and third‑party property managers to ensure work is completed on time, to standard, and with clear documentation.
What You'll Do
- Coordinate guest damage repairs and general maintenance works across the property portfolio
- Receive, log, assign, track, and follow through maintenance requests from opening to closure
- Coordinate trades, handymen, vendors, cleaners, and suppliers needed for repairs, troubleshooting, and upkeep
- Monitor job progress, follow up outstanding actions, and ensure timely completion of works
- Manage maintenance requests handled through third‑party property managers, including submission, follow‑up, and escalation of unresolved issues
- Track issue resolution, maintain accurate job records, and keep internal systems updated
- Coordinate recurring upkeep services such as common area cleaning, lawn mowing, and waste bin schedules
- Liaise with logistics and onsite support to ensure scheduled work is completed effectively
- Support quality control follow‑up on completed cleaning and maintenance tasks
- Coordinate furnishing, styling, and setup requirements for new properties or refresh projects
- Create and manage purchase orders for repairs, replacement items, furnishings, and related requirements
- Support special projects such as minor construction, property improvement works, and setup activities
- Communicate regularly with internal teams and service providers to keep all stakeholders aligned on timelines, blockers, and completion status
What We're Looking For
- 2‑3 years of experience in facilities coordination, property maintenance coordination, project coordination, or similar roles
- Strong ability to manage multiple active jobs, vendors, and timelines at the same time
- Experience coordinating repairs, maintenance requests, service providers, or project‑based work
- Strong written and verbal communication skills
- Excellent follow‑up, organization, and documentation discipline
- Strong troubleshooting and problem‑solving ability
- High attention to detail and commitment to timely job completion
- Comfortable working with trades, cleaners, logistics personnel, suppliers, onsite team members, and property managers
- Experience in hospitality, short‑term rental, property operations, or facilities support is preferred
- Experience in furnishing, property setup, styling coordination, or minor construction support is highly regarded
- Able to work independently in a remote setup while coordinating closely with onshore and offshore teams
- Type: Independent contractor (PH offshore)
- Compensation: AUD 1,500 – 1,800/month
- Schedule: Full‑time, AU shift, Flexible within business operating hours of 5:00 AM – 10:00 PM PH time
- Time Tracking: All contractors use Hubstaff for time and productivity tracking to ensure accuracy and transparency in work.
