Job summary

UNION SERVICES (S'PORE) PTE LTD. seeks a Logistics Documentation Specialist to manage outbound shipment documentation from Singapore, coordinate vessel bookings, and process orders in the internal system based on invoices and packing lists. The role requires basic shipping knowledge and proficiency in Excel.

The candidate should have 1–2 years in shipping/logistics, familiarity with ERP/WMS, and be available on short notice. Immediate start is preferred.

Qualifications

Diploma or relevant qualification in Logistics, Supply Chain, Shipping or a related field.
1–2 years of relevant experience in shipping, logistics, freight forwarding or transportation operations.
Basic knowledge of shipping documentation, import/export procedures and logistics operations.
Proficient in Microsoft Office, particularly Microsoft Excel.
Familiarity with ERP, WMS or other logistics systems will be an advantage.
Immediate availability or short notice period is preferred.

Responsibilities

To perform documentation & system updating activities related to outbound shipment from Singapore. Also required to send transportation request to our Transport department based on vessel ETA Singapore and submit required shipping documents to our customer or its clients.
To check shipping schedule and place vessel booking with shipping lines.
To revise vessel booking as per our customer’s request.
To key in the order data and vessel data into our internal system based on invoice and packing list provided by our customer.
To request our customer to provide invoice and packing list by monitoring vessel movement on Portnet.
To send stuffing instruction to our warehouse.
To send transportation request to our Transport team to arrange container haulage.
To prepare shipping instruction and send them to shipping lines.
To tally BL draft provided by shipping lines with shipping instruction.
To apply export permit and COO (FORM and SCCCICOO).
To arrange the collection of BL Original and COO.
To upload all the shipping documents prepared and collected into our customer’s system.
To send BL original documents such as BL Original and Original COO to our customer or its clients.
To key in onboard date into our internal system.
To undertake any other duties directed/delegated by immediate superior.
