Job summary

Hifly Illumination is seeking a detail-oriented logistics professional in Makati to handle import/export shipments, prepare shipping documents, and coordinate with freight forwarders and brokers to ensure timely delivery.

The role requires 1–3+ years in logistics or documentation, strong MS Office skills, and a willingness to work onsite in Metro Manila. You will maintain records, support audits, and liaise with various internal teams to ensure compliance and smooth operations.

Qualifications

• Bachelor’s degree in Business Administration, Supply Chain/Logistics, Customs Administration or related.
• 1–3+ years in import/export, freight forwarding, logistics or documentation roles.
• Proficient in MS Office (Word, Excel, PowerPoint) with strong administrative skills.
• Good communication and interpersonal skills for liaising with multiple stakeholders.
• Ability to work under pressure, multitask, pay attention to detail, and ensure documentation accuracy.
• Knowledge of import/export processes, shipping terms, customs clearance and documentation flow.
• Willingness to work onsite.

Responsibilities

• Maintain accurate documentation and records, including filing and database entries.
• Assist in reports, audits and compliance checks related to import/export operations.
• Perform other duties as assigned, may include field work and warehouse coordination.

1. Handle inbound (imports) and outbound (exports) shipments: prepare and review all required shipping documents (commercial invoices, packing lists, bills of lading/air waybills, certificates of origin).
2. Coordinate with freight forwarders, customs brokers, shipping lines, suppliers, clients (local & overseas) to ensure proper movement of goods and timely delivery.
3. Ensure compliance with customs regulations, licensing/permitting (e.g., import permits, export permits, regulatory clearances) and company policies.
4. Monitor shipment status and provide updates/tracking to internal stakeholders and customers.
5. Liaise with the accounting/finance team for duties/taxes payment, freight cost validation, liquidation of import/export documents.
6. Maintain accurate documentation and records, including filing of required forms and database entries.
7. Assist in the preparation of reports, audits, and compliance checks relating to import/export operations.
8. Other duties as assigned — may include field work, coordination with warehouse/inventory, internal departments.

Job Qualifications

• Education: Bachelor’s degree (Business Administration, Supply Chain/Logistics, Customs Administration or related) is often preferred.
• Experience: Anywhere from 1 to 3+ years in import/export, freight forwarding, logistics or documentation role.
• Proficiency in MS Office (Word, Excel, possibly PowerPoint) and strong administrative skills.
