Cloudstaff Philippines Inc. seeks an Executive Services Manager to partner with senior leadership on planning, tracking, and delivering initiatives. The role blends project management, data analysis, process improvement, and executive support, ensuring leadership decisions are executed on time and to standard.
You will build trackers, perform analyses, chair governance, and manage calendars, briefing packs, and meeting prep while prioritising requests and maintaining auditable project records.
The Executive Services Manager is a blended role that sits directly alongside senior leadership. It combines project management, data and analysis, process improvement, and executive support into a single position, and exists to make sure that what leadership decides isactually planned, tracked, measured, and delivered.
The position carries a live portfolio of initiatives and is accountable for planning them, tracking progress, flagging what is at risk, and driving them to closure. Sitting behind that is the analytical side of the work: buildingtrackers, and reporting that show how the business and the portfolio areperforming, andproducing the analysis that informs decisions before they are made.
The role also carries the executive support element that keeps the leadership agendaorganised. This includes managing calendars and diary conflicts,schedulingand preparing meetings, setting agendas, preparing pre-readsand briefing packs, capturing decisions and actions, and following through on commitments afterwards. It also involves screening andprioritisingincoming requests so that leadership attention goes to the right things.
This is not a role that fits neatly into one discipline. The successful candidate is comfortable building a project plan, interrogating a dataset, chairing a follow-up, preparing a board-standard pack, andreorganisinga week of commitments at short notice, without losing quality in any of them.
Manage a portfolio of concurrent initiatives end to end, covering scoping, planning, resourcing, delivery, andbenefitsrealisation.
Develop project plans with clear deliverables, owners, milestones, dependencies, and success measures agreed at the outset.
Maintain live status tracking across all active projects and produceaccurateportfolio-level reporting on progress and health.
Monitor delivery against plan,identifyslippage early, and drive resolution rather than simply reporting the delay.
Maintain risk, issue, and dependency registers, and ensure mitigations are owned and actioned.
Run governance routines including steering updates, project reviews, change control, and post-implementation reviews.
Hold action owners accountable across functions, following through on commitments to closure without needing to be prompted.
Document project artefacts to a consistentstandardso initiativesremainauditable and transferable.
Build andmaintaintrackers, and management reporting that give a reliable view of performance and project health.
Perform analysis to support decision-making, including trend analysis, variance analysis, scenario modelling, and root cause investigation.
Interrogate data critically,validatefigures before they are presented, and explain what the numbers mean in practical and commercial terms.
Translate analysis into clear recommendations, and present findings in a format suited to a senior audience.
Identifyinefficiencies in existing processes andleadstructuredimprovementwork through to implementation.
Map current-state processes, quantify the problem, design and test improvements, and embed controls so gains are sustained.
Standardiserecurring workflows and reduce manual effort through better process design and automation.
Use AI tools actively in day-to-day delivery to accelerate research, drafting,summarisation, analysis, and documentation.
Identifypractical opportunities to apply AI to recurringtasks, andapply sound judgement about where AI output requires verification.
Support the executive operating rhythm, including meeting cadence, agendas, pre-reads, and calendar coordination.
Prepare briefing materials and presentations for leadership meetings and reviews.
Capture decisions and actions arising from meetings and track them through to completion.
Triage incoming requests, assess urgency and importance, and make judgement calls on what requires executive attention and what can be resolved elsewhere.
Minimum 5 years of experience in project management, business operations, or a comparable delivery role in a corporate environment, withclear evidenceof owning delivery rather than only coordinating it.
Demonstrated ability to manage multiple concurrent projects with competing deadlines, and to keep all of them accurately tracked.
Strong data and analytics capability, including advanced Excel and confidence working with reporting tools such as Power BI. Able to build a report,not only readone.
Sound commercial and financial understanding, including familiarity with budgets, forecasts, cost drivers, and basic financial statements, sufficient to engage credibly on financial matters.
Practical, hands-onproficiencywith AI tools in a professional setting.
Excellentprioritisationand judgement, witha track recordof managing competing demands under time pressure.
Strong written and verbal communication, including the preparation of material for senior audiences.
High levelof discretion and sound handling of confidential information.
Tertiaryqualificationin business, finance, engineering, data, ora related field.

Six Sigma certification (Green Belt or above), Lean, or equivalent formal process improvement training, with practical application in a work setting.
A background in statistics or quantitative analysis, including comfort with concepts such as distribution, correlation, forecasting, and significance testing.
Formal project managementcertificationsuch as PMP, PRINCE2, oran Agileequivalent.
Experience supporting a C-level executive or an executive office directly.
Exposure tofinancial planning and analysis, budgeting cycles, or board-level reporting.
Experience in a fast-paced, multi-site, or distributedorganisation.
