Job Summary
The Executive Recruiting Specialist is responsible for supporting executive recruitment operations by coordinating candidate logistics, interview scheduling and administrative activities throughout the hiring process. This role partners closely with Executive Recruiters, senior leaders, candidates and external vendors to deliver a seamless and high-touch candidate experience.
Operating within a Global Business Services environment, this role supports executive hiring initiatives through operational excellence, stakeholder engagement and administrative coordination.
What you'll do
Coordinate end-to-end interview scheduling for executive-level candidates across multiple time zones and stakeholder groups.
Manage complex calendar coordination between candidates, Executive Recruiters, hiring leaders and executive stakeholders.
Arrange candidate travel including flight reservations, hotel accommodations, ground transportation and related logistics for onsite interviews.
Partner with travel vendors and internal stakeholders to ensure seamless travel experiences for candidates.
Prepare and distribute interview itineraries and travel details to candidates and interview teams.
Monitor candidate travel plans and proactively resolve scheduling or logistical issues.
Process and manage travel and expense reporting in accordance with company policies and procedures.
Support the creation and maintenance of executive recruitment requisitions and recruiting documentation.
Conduct candidate outreach and communication throughout the recruitment process.
Maintain accurate records within applicant tracking systems and other recruitment tools.
Ensure all recruitment activities are properly documented and compliant with company policies and data privacy requirements.
Build and maintain strong working relationships with Executive Recruiters, candidates, hiring managers and administrative partners.
Provide administrative and operational support for executive recruiting initiatives and projects.
Assist with reporting, data management and recruitment process tracking.
What you'll bring
Experience
2+ years of experience in recruitment coordination, executive recruiting support, executive administration or talent acquisition operations preferred.
Experience supporting executive-level interview scheduling and stakeholder coordination preferred.
Experience coordinating domestic and international business travel preferred.
Experience processing travel and expense reports required.
Experience using applicant tracking systems required.
Experience with Workday preferred.
Experience with candidate relationship management systems preferred.
Experience working in a fast-paced, service-oriented environment.
Education
Bachelor's degree in Human Resources, Business Administration, Hospitality Management or a related field required.
Skills
Proficiency in Microsoft Word, Excel, Outlook and PowerPoint.
Strong calendar management and scheduling skills.
Excellent verbal and written communication skills in English.
Strong organizational skills and attention to detail.
Ability to manage multiple priorities with competing deadlines.
Strong customer service and candidate experience orientation.
Ability to exercise discretion when handling confidential executive-level information.
