Schedule & Calendar Management: Take full ownership of the daily calendar, client appointments, and personal schedule. Organize incoming emails, messages, and calls so urgent matters are handled first.
Trilingual Customer & Client Communication: Serve as the main point of contact over the phone, email, and chat apps—providing friendly, professional support in English, Mandarin, and Cantonese.
Daily Office & Administrative Support: Keep client records up to date, handle routine paperwork and confirmations, organize files, and ensure day-to-day administrative tasks run smoothly.
Phone & Email Handling: Manage main communication lines using web-based phone systems and shared inboxes—answering inquiries, providing general information, and following up with clients promptly.
Team & Operations Coordination: Act as the central link connecting management, internal team members, suppliers, and external partners to keep daily operations seamless.
Trilingual Fluency: Fluent in spoken and written English, Mandarin, and Cantonese. Comfortable explaining everyday office details and general concepts in all three languages.
Relevant Administrative Experience: At least 2–3 years of experience as an Executive Assistant, Virtual Assistant, Receptionist, or Office Administrator. Experience in a healthcare or clinic setting is a plus.
Tech & Computer Skills: Proficient with Microsoft Office, Google Workspace, messaging apps (WeChat/WhatsApp), and internet-based phone systems. Familiarity with clinic or customer management software is a advantage.
Organized & Independent: Highly detail-oriented, reliable, and capable of managing tasks with minimal supervision. You stay calm under pressure and take initiative to solve scheduling conflicts before they happen.
