We are looking for a highly organized, proactive, and trustworthy Executive Assistant to provide comprehensive support to executive leadership across multiple businesses. This role is ideal for someone who thrives in a fast-paced environment, anticipates needs before they arise, and can confidently manage executive operations, scheduling, communication, travel, and property-related coordination.
As a key partner to the executive team, you will help keep business and personal operations running smoothly while maintaining the highest level of professionalism and confidentiality.
Key responsibilities:
- Manage executive email inboxes, correspondence, and follow-ups
- Coordinate calendars, appointments, meetings, and reminders
- Schedule internal and external meetings across multiple businesses
- Prepare reports, documents, presentations, and meeting notes
- Handle confidential information with professionalism and discretion
- Assist in organizing projects, priorities, and daily operations
- Provide general executive assistant and administrative support as needed
Property management support
- Assist in overseeing residential properties and coordinating maintenance requests
- Communicate with vendors, contractors, tenants, and service providers
- Track property schedules, invoices, renewals, and appointments
- Maintain organized records, payments, and property documentation
Travel & personal support
- Coordinate business and personal travel arrangements, including flights, hotels, transportation, and itineraries
- Assist with reservations, scheduling, and personal appointments
- Support day-to-day life management tasks and special projects
- Manage errands, reminders, and other time-sensitive requests
Qualifications:
- Previous experience as an Executive Assistant or Administrative Assistant supporting senior executives/CEO/COO
- Experience supporting executives in the construction, real estate, or property management industry
- Experience handling executive travel and personal assistance responsibilities
- Exposure to basic finance, invoice tracking, or expense management
- Familiarity with vendor coordination, maintenance scheduling, and property administration
- Strong organizational, multitasking, and time-management abilities
- High level of professionalism, discretion, and reliability
- Exceptional attention to detail and problem-solving skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with Microsoft Office, Google Workspace, calendars, and communication tools
- Comfortable handling scheduling, coordination, and administrative operations independently
