Job summary

LPPA Design Group, Inc. in Manila seeks an Executive Assistant/Business Development Officer to manage daily office operations and support the President/CEO with scheduling, documentation, and client communications.

Responsibilities

  • Managing the day-to-day operations of the office
  • Managing the day-to-day schedule of President/CEO
  • Organizing and maintaining files and records
  • Maintains executive's appointment schedule by planning and scheduling meetings
  • Preparing and editing correspondence, reports, and presentations
  • Communicates with clients, client suppliers, and vendors
  • Prepare and verify source documents such as invoices and receipts
  • Prepare project logs and maintain accounting filing systems
  • Safeguard sensitive information with discretion and integrity
  • Multitask, prioritize commitments and manage time effectively
  • Prepare billing in coordination with the Bookkeeper
  • Prepare requirements for accreditation, eligibility and bidding for private and government projects
  • Prepare technical and financial proposals and business correspondences
  • Perform other related duties as assigned by the President/CEO

EXECUTIVE ASSISTANT/ BUSINESS DEVELOPMENT OFFICER
DUTIES AND RESPONSIBILITIES
  • Managing the day-to-day operations of the office;
  • Managing the day-to-day schedule of President/CEO;
  • Organizing and maintaining files and records;
  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel;
  • Preparing and editing correspondence, reports, and presentations;
  • Communicates (both in verbal and written form) with clients, client suppliers, and vendors;
  • Check and verify source documents such as invoices, receipts, computer printouts;
  • Responsible in preparing (employee’s project log sheet);
  • Maintain an orderly accounting filing system;
  • With high level of discretion and integrity to safeguard sensitive information;
  • Ability to multi-task, prioritize commitments and manage time effectively.
  • Creates and renews the contracts based on signed quote or original quote;
  • Prepares certifications, memorandum on project updates, statement of accounts and other forms of computation of payments upon request of clients and other parties concerned;
  • Provide project office and financial administration support on billable engagements;
  • Complete all project office tasks and financial administration activities in accordance to the monthly defined cycle;
  • Execute responsibilities based on the documented and agreed upon tasks as may be assigned by the President/CEO;
  • Preparation of Billing in coordination with Bookkeeper.
  • Preparation of requirements and documents for compliance in accreditation, eligibility and bidding for different private and government procuring entities.
  • Preparation of technical and financial proposals and business correspondences.
  • Performs other related duties from time to time.
