Hocheng Philippines Corporation (HCG) is seeking an Executive Assistant to provide high-level administrative and organizational support to the Senior Vice President (SVP). This role focuses on managing schedules, communications, meetings, and executive priorities in a fast-paced environment.
The ideal candidate will be discreet, highly organized, and capable of handling confidential information with integrity, while maintaining professionalism and composure under pressure.
College Graduate of any 4-year course
With 1 to 3 years of relevant work experience in executive assistance, office administration, or a similar role
Must be residing in Taguig City or nearby areas
Strong verbal and written communication skills
Excellent organizational, multitasking, and time management skills
Proficient in Microsoft Office applications, particularly Word, Excel, and PowerPoint
Trustworthy, discreet, and able to handle confidential information with integrity
Professional, presentable, and properly groomed
Emotionally mature, patient, and able to work under pressure
Able to prioritize tasks and respond promptly to urgent requests
Provide comprehensive administrative and organizational support to the SVP, including managing daily priorities and executive activities.
Manage the SVP’s calendar, appointments, meetings, business engagements, and schedules.
Coordinate meetings, conferences, business events, and travel arrangements, including itineraries, transportation, and accommodations.
Handle internal and external communications, correspondence, emails, memoranda, and official documents on behalf of the SVP.
Prepare, organize, maintain, and safeguard confidential reports, presentations, meeting materials, and executive records.
Coordinate with department heads, managers, employees, clients, suppliers, and other stakeholders to support the SVP’s directives and business requirements.
Monitor meeting action items, assignments, requests, and commitments, ensuring timely follow-up and completion.
Process and monitor the SVP’s reimbursements, business expenses, cash advances, and supporting documents in accordance with company policies.
Assist in preparing reports, presentations, summaries, and other materials for management discussions and decision-making.
Support special projects, company initiatives, research, and other assignments requiring coordination and administrative assistance.
Maintain strict confidentiality of sensitive executive, financial, operational, and company information.
Perform other duties as assigned by the SVP.
