Job summary

Juan Carlo-The Caterer, Incorporated is seeking an Operations Support and Admin Specialist in Batangas City, Philippines, to plan and coordinate daily catering operations and events while ensuring all manpower, logistics, and equipment are properly scheduled and documented.

You will coordinate with kitchen, logistics, purchasing, and sales teams, oversee document preparation, and monitor compliance with internal processes.

Qualifications

• Bachelor’s degree in Business Administration, Hospitality Management, or related field.
• 1–2 years experience in administrative or operations support (preferably in catering/events/hospitality).
• Strong organizational and multitasking skills.
• Proficient in Microsoft Office (Excel, Word, PowerPoint).
• Good communication and coordination skills.
• Detail-oriented and able to work under pressure.

Responsibilities

• Assist in planning and coordinating daily catering operations and events.
• Ensure all operational requirements (manpower, logistics, equipment) are properly scheduled and documented.
• Coordinate with kitchen, logistics, purchasing, and sales teams for seamless execution.
• Oversee preparation, filing, and safekeeping of operational documents (event orders, contracts, reports).
• Monitor compliance with internal processes and standard operating procedures.
• Maintain accurate records of operations, inventory requests, and service reports.
• Prepare daily, weekly, and monthly operational reports.
• Track KPIs such as on-time event execution, client satisfaction, and incident reports.
• Analyze data to recommend improvements in efficiency and service delivery.
• Identify gaps in current processes and recommend improvements.
• Support implementation of systems (e.g., inventory systems, scheduling tools).
• Ensure continuous improvement of workflows and coordination practices.
• Provide administrative guidance to operations staff.
• Assist in scheduling, attendance monitoring, and manpower allocation.
• Support training and reinforcement of company policies and procedures.
• Ensure all event requirements are clearly communicated and executed.
• Address operational concerns before, during, and after events.
• Work closely with the Operations Manager and other department heads.
