We are seeking an organized and proactive Estimating Administrative Assistant to provide critical day-to-day support to our estimating department. In this role, you will focus on internal team organization, data entry, and correspondence management, ensuring that Senior Estimators and the Estimating Team Lead can operate efficiently and without administrative bottlenecks. The ideal candidate is highly reliable and brings a detail-oriented approach to maintaining documentation and supporting departmental coordination.
Data Management: Enter new project data, client information, and bid outcomes accurately into the company CRM or project management software.
Quote Organization: Receive, log, and organize incoming material and subcontractor quotes, ensuring they are placed correctly into designated project files for the estimators.
Correspondence & Documentation: Draft, format, and proofread proposals, cover letters, and follow-up correspondence under the direct guidance of the estimating team.
Post-Bid Support: Assist in compiling critical post-bid documentation and seamlessly transitioning awarded project files to the operations team.
Department Support: Provide comprehensive administrative assistance by answering department phone calls, managing shared email inboxes, and supporting coordination efforts between operations, sales, and estimating leadership.
Experience: 1–2 years of professional administrative experience.
Technical Proficiency: Strong basic computer and software proficiency, including experience with data entry and inbox management.
Core Competencies: Exceptional attention to detail, reliability, and a highly professional work ethic. Proven ability to follow established processes and direction accurately. Must be able to pass a pre-employment screening.
Remote Infrastructure: Must have a dedicated, noise-free home office setup equipped with a reliable, high-speed internet connection and a backup power source.
Basic familiarity with construction terminology and industry workflows.
