Pro-Excel Property Managers, Inc. is seeking an Estate Manager Assistant to coordinate emergency drills, oversee fire-protection systems, and support regulatory compliance for the property portfolio.

The role involves coordinating with tenants, contractors, and government agencies, supervising engineering concerns, reviewing project plans, and driving energy-saving initiatives across common areas.

Responsibilities

• Assist Estate Manager in coordinating and implementing Emergency Preparedness Drills and Annual Fire/Earthquake Drill; act as Assistant Fire Brigade/Emergency Marshal.
• Ensure all fire protection systems are properly maintained and in good working condition (Hydrants and Fire/Water Truck pumps).
• Assist Property Manager in complying with statutory and regulatory requirements.
• Assist Estate Manager in liaising and securing renewals of regulatory permits and licenses as required by LGU and other government agencies.
• May be assigned as a Pollution Control Officer (PCO) in lieu of the Estate Manager.
• Assist in preparation and submission of Compliance Monitoring Report (CMR) and quarterly Self-Monitoring Report (SMR) for DENR/LLDA.
• Oversee all engineering and technical concerns of the project.
• Review plans and prepare scope of work for projects; evaluate proposals of third party contractors for endorsement to Trustees/PD.
• Evaluate drawings for minor construction/renovation submitted by unit owners, ensuring turnaround times.
• Conduct technical meetings with tenants/representatives and contractors.
• Monitor tenants’ fit-out and construction works; ensure guidelines are followed; provide project status reports.
• Participate in technical briefing, testing and commissioning of building equipment; verify work processes.
• Update and maintain records or documentation of equipment; ensure proper labeling and filing.
• Ensure close out of technical audit findings of QA team within agreed turnaround time.
• Evaluate and endorse Job Orders and Work Permit applications in MyHome App/Email to the Estate Manager.
• Strict implementation of collections policies; utilities are cut-off on time for delinquent accounts.
• Implement energy-conservation and cost-saving measures while monitoring common area utilities.
