Job summary

City Savings Bank, Inc. is seeking an Offboarding & Payroll Officer in Metro Manila to manage end-to-end employee offboarding for resignations, retirements, and terminations, and to perform essential payroll bookkeeping duties.

The role reports to the Payroll Administration Head and coordinates with multiple units to ensure accurate final pay and proper documentation. The officer will ensure timely processing of clearances and legal documents, maintain ledger accuracy, and produce regular

Qualifications

• End-to-end offboarding process for resignations, retirements, and terminations.
• Payroll bookkeeping duties in accordance with bank policies.
• Compliance with bank policies and procedures.

Responsibilities

• Send offboarding requirements to outgoing employees (clearance checklist, affidavit, exit interview link).
• Route clearance forms to designated clearing units.
• Coordinate handover of duties with line managers for smooth departures.
• Ensure return of company property (laptops, mobility kits, access cards, keys, vehicles).
• Notify units (Accounting, Asset Management, Repossession, IT, Employee Loans) about liabilities and obligations.
• Compute last pay, separation pay, and retirement pay based on clearance results and bank policies.
• Prepare legal/statutory documents (quitclaim, BIR Form 2316, COE, clearance certificate).
• Prepare payment requests for final pay disbursements.
• Release final pay upon signed offboarding documents and clearances.
• Address cases of insufficient final pay to cover deductions with separated employees.
• Record offboarding transactions in payroll system and post journal entries.
• Reconcile payroll accounts related to separations before audits.
• Maintain real-time tracker of separations via OneDrive and provide monthly summaries.
