Job summary

GrowthAssistant, LLC is hiring an Email Marketing Project Coordinator to manage inbound lead and client communications, coordinate campaigns, and ensure on-time, error-free email deliveries.

You will work with HubSpot, Asana, and Mailchimp, oversee project boards, provide weekly updates, QA emails, and collaborate with creative and technical teams to optimize performance.

The Opportunity

We're hiring an Email Marketing Project Coordinator for an email marketing agency — managing inbound lead and client communication, coordinating client projects, and making sure email campaigns ship on time and error-free. This role suits someone who thrives in a fast-paced environment, communicates clearly with customers, and has a sharp eye for email quality assurance.

What Your Day-to-Day Will Look Like

• Lead & Client Emails: Monitor and respond to incoming lead and client emails professionally, within one business day or less.
• HubSpot Communication: Create items in HubSpot and route them to the right team members or client based on client needs, and manage ongoing client communication via HubSpot and email.
• Weekly Updates: Provide weekly project updates to clients and internal stakeholders.
• Project Boards: Oversee Asana project boards, assign tasks, and make sure deadlines are met.
• Workflow Management: Track project progress, proactively resolve workflow bottlenecks, and maintain accurate project statuses and documentation.
• Email QA: Test email designs for functionality, rendering, and accuracy before client delivery.
• Template Quality: Identify and correct errors in email templates to keep campaign execution high quality.
• Team Collaboration: Collaborate with the creative and technical teams to optimize email performance, and stay current on email marketing trends and best practices.

What You Bring

• Multi-Client Management: Ability to manage the details and deadlines for multiple clients and projects at once.
• Experience: 1–3 years of experience in email marketing, client coordination, or project management.
• Tools: Familiarity with a CRM (HubSpot preferred), a project management platform (Asana preferred), and email marketing platforms (Mailchimp preferred).
• Attention to Detail: Strong attention to detail and problem-solving skills.
• Communication: Excellent written and verbal communication abilities.
• Email Fundamentals: A basic understanding of email design, testing, and quality control best practices.

Bonus Points if:

• You have strong email marketing experience.
• You have a QA background.
• You have executive assistant (EA) experience.
• You have experience in an email marketing agency or a related field.
• You know email deliverability, segmentation, and A/B testing, plus basic HTML for email troubleshooting.
