About the role

As the first point of contact for individuals seeking psychological support, you will provide a warm, professional, and reassuring experience while assisting clients with enquiries, appointment scheduling, follow-ups, and general administrative support. This is a high-volume, phone-based role supporting an Australian-based online psychology practice.

Key responsibilities

  • Handle approximately 700 calls per month or 30+ calls per day

  • Manage primarily inbound calls, as well as outbound calls for appointment confirmations, follow-ups, and rescheduling

  • Schedule and coordinate appointments with psychologists

  • Support clients with enquiries regarding services, availability, and booking procedures

  • Communicate calmly and empathetically with individuals who may be distressed or emotionally vulnerable

  • Maintain accurate client records and appointment information

  • Escalate clinical concerns or situations outside your scope to the appropriate team member

About you

  • Bachelor's degree in Psychology or a related field, such as Behavioral Science, Guidance and Counseling, Social Work, Human Services, Nursing, or another allied health discipline

  • At least 2 years of relevant experience in customer support, medical reception, healthcare coordination, appointment setting, or virtual assistance

  • Direct experience supporting patients or clients in a mental health, psychology, counseling, behavioral health, or similar practice

  • Experience communicating with distressed, emotionally vulnerable, or sensitive patients/clients

  • Confidence handling a high volume of calls, averaging 30+ calls per day

  • Excellent spoken and written English

  • A calm, compassionate, patient, and empathetic communication style

  • Strong active listening, organizational, and appointment management skills

  • The ability to handle sensitive information with professionalism and confidentiality

  • Availability to work Australian business hours in a remote setup
