Job summary

vamasters, Inc. is seeking a reliable Customer Service and Appointment Setting Specialist to support a busy youth athletic training facility. You will be the first point of contact for member inquiries, book sessions, and keep client records organized and current.

The role requires strong English, excellent organizational skills, and comfort with CRM and scheduling systems such as GoHighLevel or Mindbody. You will help reduce no-shows and maintain tidy data while providing friendly service.

Qualifications

• Solid experience in customer service, client support, or appointment setting.
• Direct experience with a CRM platform (GoHighLevel strongly preferred).
• Excellent written and spoken English with a friendly, professional tone.
• Strong organizational skills and careful attention to detail in record keeping.
• Ability to prioritize and manage a high volume of inquiries while staying accurate.
• Picks up new software quickly.
• Responsible, exact, and comfortable working independently.
• Clear communication and judgment to escalate issues when needed.

Responsibilities

• Answer member inquiries and requests quickly and professionally.
• Schedule, reschedule, and confirm training session appointments.
• Maintain and update lead and member records in the CRM.
• Reach out to leads and members to keep the pipeline moving and reduce no-shows.
• Assist with onboarding new members, collecting their information and setting them up in the system.
• Pass requests needing coaching or management input to the internal team.
• Keep data accurate and tidy across scheduling and CRM platforms.
• Handle general administrative tasks that support daily operations.
