vamasters, Inc. is seeking a reliable Customer Service and Appointment Setting Specialist to support a busy youth athletic training facility. You will be the first point of contact for member inquiries, book sessions, and keep client records organized and current.
The role requires strong English, excellent organizational skills, and comfort with CRM and scheduling systems such as GoHighLevel or Mindbody. You will help reduce no-shows and maintain tidy data while providing friendly service.
Job Summary:
We're searching for a reliable and personable Customer Service and Appointment Setting Specialist to support a busy youth athletic training facility. As the first point of contact for member inquiries, you'll handle requests, book sessions, and keep our client records organized and current. We're after someone highly organized, clear and warm in communication, and comfortable working in CRM and scheduling systems every day.
Key Responsibilities:
Answer member inquiries and requests quickly and professionally
Schedule, reschedule, and confirm training session appointments
Maintain and update lead and member records in the CRM
Reach out to leads and members to keep the pipeline moving and reduce no-shows
Assist with onboarding new members, including collecting their information and setting them up in the system
Pass requests that need coaching or management input to the internal team
Keep data accurate and tidy across scheduling and CRM platforms
Handle general administrative tasks that support daily operations
Mandatory Skills:
Solid experience in customer service, client support, or appointment setting
Direct experience with a CRM platform (GoHighLevel strongly preferred)
Excellent written and spoken English with a friendly, professional tone
Strong organizational skills and careful attention to detail in record keeping
Ability to prioritize and manage a high volume of inquiries while staying accurate
Picks up new software quickly
Responsible, exact, and comfortable working independently
Clear communication skills and the judgment to know when to escalation an issue
Preferred Skills:
Experience with Mindbody or similar booking and membership management software
History in fitness, sports, wellness, or membership-based businesses
Comfortable handling outbound and inbound client phone calls
Experience supporting a service business with recurring appointments
Ability to keep multiple requests and priorities on track at once
Knowledge of basic lead management and follow-up sequences
