As a Construction Operations Manager, you will streamline workflows, activate SOPs, and drive financial control to relieve leadership and scale business efficiency. We are seeking a proactive professional with 3+ years of experience in operations, administration, or project coordination within the building, construction, or trades industry. Proficiency in Xero is strongly preferred, and hands-on experience with Wunderbuild is a distinct advantage. Schedule:
- Monday - Friday, 8:0 AM - 5:00 PM AEST (40 hours per week)
Responsibilities:
- Proactively activate and ensure consistent adherence to established business SOPs and operational standards, moving them from documentation into daily practice.
- Monitor job progress and compliance within Wunderbuild daily, ensuring all stages are consistently updated with photo evidence and actions.
- Oversee the timely dispatch and diligent follow-up of RFQs (Requests for Quote) to subcontractors, driving prompt and complete responses to eliminate delays.
- Maintain internal checklists within Wunderbuild or other agreed platforms, ensuring consistent execution of recurring operational tasks across all projects.
- Track job profitability and budget adherence in Wunderbuild and Xero daily, providing regular updates on project financial status to founders.
- Manage the end-to-end process for project variations, from gathering subcontractor pricing to securing client acceptance and updating project budgets.
- Accurately allocate, track, and reconcile project financial documentation (e.g., receipts, supplier invoices) into back costing weekly.
- Complete and document financial compliance checklists monthly.
- Manage and triage the main business email inbox, ensuring timely responses, drafting replies, and escalating critical items to founders daily.
- Facilitate proactive communication and information flow between the designer and estimator as needed.
- Coordinate external communications with clients and subcontractors as needed.
- Curate and prepare engaging content for social media platforms (e.g., carousels, reels) that aligns with the brand weekly.
- Coordinate social media content review and approval with founders weekly.
- Schedule and publish approved social media content across all relevant platforms weekly.
- Monitor social media engagement and provide basic performance reports monthly.
- Document existing administrative workflows and decision-making processes, creating comprehensive SOPs for recurring tasks and developing a searchable knowledge base.
Requirements:
- Proven experience (3+ years) in an administrative, operations, or project coordination role, ideally within the building, construction, or trades industry.
- Proficiency with project management software.
- Experience with accounting software for financial tracking and reconciliation.
- Strong organizational skills and meticulous attention to detail, especially concerning documentation, compliance, and financial data.
- Excellent written and verbal communication skills, with the ability to draft professional correspondence and facilitate clear internal/external communication.
- Proactive problem-solver with a strong sense of ownership and accountability.
- Ability to manage multiple tasks, prioritize effectively, and work independently with minimal supervision.
- Tech-savvy with an understanding of digital tools and a willingness to learn new software (e.g., AI tools for efficiency).
Qualifications:
- Experience with Wunderbuild is highly advantageous.
- Experience with Xero is preferred.
- Experience with social media content creation and scheduling is a plus.
- Understanding of or willingness to learn about business coaching principles (e.g., APB/TPB methodology) is beneficial.
