We are looking for a Client Support Officer to provide accurate and timely administrative and client support for an Australian property / Owners Corporation services team.
The role is primarily focused on written correspondence, administration, meeting support, records management and client communication. The successful candidate will be responsible for managing assigned tasks from drafting through completion, maintaining accurate records and ensuring work is completed within required deadlines.
This role suits someone who is highly organised, detail-oriented and confident working independently with established templates, systems and processes. The ability to recognise when a matter requires escalation is also important.
- Manage and action assigned inboxes and administrative tasks.
- Draft and issue professional written correspondence using approved templates.
- Respond to routine client and owner enquiries via email and other written channels.
- Prepare meeting agendas, meeting packs and minutes.
- Record meeting resolutions, actions and relevant building information.
- Prepare Owners Corporation Certificates for review and sign-off.
- Maintain accurate owner details, mailing preferences and building records.
- Ensure correspondence and administrative work are completed within required deadlines.
- Maintain accurate and up-to-date records in the relevant systems.
- Coordinate with internal team members and provide support on shared tasks.
- Escalate matters requiring additional approval, judgement or decision-making.
- Identify opportunities to improve administrative workflows and processes.
- Maintain confidentiality when handling client, owner and building information.
Requirements:
- 2+ years of experience in administration, client support, property administration or a similar back-office role.
- Excellent written and verbal English communication skills.
- Strong attention to detail and accuracy.
- Excellent organisational and time-management skills.
- Experience working with documents, templates, records and deadlines.
- Comfortable working with digital platforms and task-management systems.
- Able to work independently while maintaining clear communication with the team.
- Good judgement and the ability to identify when an issue needs to be escalated.
- Reliable setup suitable for working with an Australian-based team and business hours.
PREFERRED / NICE TO HAVE
- Experience in Australian property, strata, Owners Corporation, body corporate or real-estate administration.
- Familiarity with Australian statutory correspondence or notice periods.
- Experience supporting Australian clients or teams.
- Experience with contractor or trade coordination.
- Experience using workflow automation, AI-assisted tools or other productivity platforms.
