About the Role
We are looking for a proactive, detail-oriented and reliable Executive Assistant to support an Australian accounting practice with day-to-day administration, client communication and accounting-related tasks.
This role is ideal for someone who takes pride in their work, takes ownership, has good common sense and is serious about delivering high-quality work.
We are looking for someone who can work independently, communicate confidently with clients and use initiative rather than waiting to be told what to do at every step.
Key Responsibilities:
- Assist with day-to-day accounting practice administration.
- Manage and organise emails and follow up outstanding matters.
- Assist with preparing information and documentation for accounts and BAS work.
- Assist with ATO-related administration and downloading required forms/documents.
- Create and manage jobs/tasks in Xero.
- Assist with BAS reporting and preparation.
- Send client questionnaires and follow up outstanding information.
- Communicate with clients to obtain required documents and information.
- Assist with client onboarding and maintaining accurate client records.
- Prepare and issue client invoices and assist with invoice follow-ups.
- Maintain and update the CRM.
- Manage meetings, calendars and appointments.
- Answer incoming phone calls and assist with general reception duties.
- Assist with social media and basic marketing administration.
- Maintain organised digital files and client documentation.
- Assist the accounting team with other administrative tasks as required.
- Identify issues, missing information or tasks requiring attention and take appropriate action.

Systems & Software:
Experience with the following is highly desirable:
- Xero
- Content Snare
- Microsoft 365 – Outlook, Word, Excel, Teams
- CRM systems
- Accounting practice management software
- Previous experience working with an Australian accounting firm or in an accounting administration role will be highly regarded.
