The Centralized SchedulingTimekeeperExpertis responsible forproviding subject matterexpertise, new associate onboarding support and serves as an escalation point forproactive, forward-looking schedule development and optimizationfor designated departments. This role focuses onproviding team support and best practices forcreating, balancing, andmaintainingschedules in advance to ensureappropriate coverage, skill mix, and operational efficiency. TheExpertpartners closely withinternal team members to resolve issues andcan serve as a trusted point of contact fordepartment managers to forecast staffing needs, manage self-scheduling, and prepare schedules that minimize last-minute staffing gaps. This role ensuresthe team is well prepared to delivertimecard accuracy and application of approved pay practices and policies.
Serves as a subject matter expert forscheduler timekeeper coordinatorsoffering onboarding,developmentand coaching/mentoringsupport
Actsas an escalation point for complexquestionsandissues,workswith the team, centralized scheduling leadership as well asdepartment leadership.
Developstraining and onboarding materials as well as internal documentation for SOPs and workflows
Creates and edits schedules forROC supporteddepartments in the electronic scheduling systemin accordance withhospital policies, procedures, and guidelines.
Collaboratewith department managers to prepareaccuratedaily, weekly, and shift schedules that reflect forecasted staffing needs.
Reviews, approves, or denies schedule requests (PTO, changes, preferences) based on departmental needs and established guidelines, communicating outcomes to leaders asappropriate.
Balances andpublishesschedules at the conclusion of self-scheduling periods to ensureappropriate coverageand efficiency.
Assigns specialty roles based on unit-specific operational requirements and skill-mix standards.
Determinesvacancy rates by role and department; posts incentive shiftsin accordance withministry policy to proactively addressanticipatedgaps.
Maintain department schedules within the electronic staffing system,ensuringaccuratedaily coverageandopenshift needs torecruitadditionalpersonnel based on projected census, acuity, and budget considerations.
Preparestaffing and scheduling reports anddistributethem to appropriate leaders as directed.
Reviews andmaintainstimecards for accuracy per policy,accounting for required hours per employment status, resolves discrepancies, approves or denies requests, and prepares timecards for manager review prior to pay period close.
Attendstaffingmeetings/trainings andparticipatein continuous improvement efforts.
Assistwith orientation or training on schedulingsystemstechnology when needed.
