We are looking for a proactive and organised Branch Operations Executive to support the day-to-day operations and administrative activities of our Singapore branch.
The role will cover branch administration, event coordination, customer-facing activities, vendor coordination and operational support. As a brokerage firm, the successful candidate will work closely with the Branch, Marketing, Operations, Compliance and other internal teams to ensure the branch operates smoothly and provides a professional experience for clients and visitors.
This is a hands-on role suitable for someone who is organised, detail-oriented, proactive and comfortable managing multiple tasks and stakeholders.
The role requires a 5-day work week, including weekends and public holidays, based on the branch's operating schedule. Working hours will be on a shift basis, either 9:00 AM-6:00 PM or 10:00 AM-7:00 PM.
1. Branch Operations & Administration
Support the daily administrative and operational activities of the Singapore branch.
Coordinate branch facilities, office supplies, equipment, maintenance and general housekeeping.
Liaise with building management, contractors, vendors and service providers on branch-related matters.
Manage administrative records, invoices, purchase requests and other branch documentation.
Assist with branch expenses, payments and basic administrative reporting.
Ensure the branch is well-maintained, organised and professionally presented.
2. Branch Events & Activities
Support the planning and execution of branch events, client activities, seminars, workshops and promotional activities.
Coordinate event logistics including venue setup, registration, materials, refreshments, equipment and vendor arrangements.
Work closely with Marketing and Business Development teams to ensure smooth execution of branch events.
Coordinate with internal teams and external vendors before, during and after events.
Assist with event invitations, attendance tracking, registration and post-event follow-up.
Provide on-site operational support during branch events and activities, including weekends and public holidays where required.
3. Client & Branch Support
Provide administrative and operational support for branch walk-in clients and visitors.
Assist the Branch team with client appointments, meetings and other branch activities.
Coordinate meeting rooms and ensure meeting facilities are properly prepared.
Support the Branch team in maintaining a professional and welcoming client environment.
Escalate client or operational issues to the relevant internal teams when required.
4. Internal Coordination
Work closely with Branch, Marketing, Operations, Compliance, Finance, IT and other relevant departments.
Support internal meetings, branch communications and administrative coordination.
Follow up on operational tasks and ensure matters are completed within the required timelines.
Maintain proper documentation and records in accordance with company procedures.
5. Vendor & Expense Management
Coordinate with external suppliers and service providers for branch-related requirements.
Obtain quotations, arrange purchases and follow up on invoices and payments.
Monitor branch-related expenses and ensure proper documentation is maintained.
Assist in evaluating vendors and identifying opportunities to improve cost efficiency and service quality.
6. Process Improvement
Identify areas where branch administrative and operational processes can be improved.
Develop and maintain administrative checklists, procedures and records where required.
Support the implementation of new branch initiatives, systems and operational processes.
Take initiative to resolve day-to-day operational matters and ensure the branch runs efficiently.
5 working days per week, including weekends and public holidays.
Working days will be scheduled according to the branch's operating requirements.
Shift hours:
9:00 AM - 6:00 PM, or
10:00 AM - 7:00 PM
Flexibility to support branch events and activities outside regular working hours when required.
Diploma or Bachelor's Degree in Business Administration, Management, Hospitality, Marketing or a related discipline.
2-4 years of experience in branch operations, administration, retail operations, events, customer service or a similar role.
Experience in financial services, brokerage, banking or other regulated industries would be an advantage.
Experience supporting events, seminars, workshops or client-facing activities is preferred.
Strong organisational and coordination skills with good attention to detail.
Proactive and independent, with the ability to take ownership of tasks without requiring constant instructions.
Good communication and interpersonal skills.
Comfortable working with internal teams, clients, vendors and external partners.
Good command of written and spoken English.
Proficient in Microsoft Office, particularly Excel and PowerPoint.
Able to work in a fast-paced environment and manage multiple priorities.
Willing and able to work on weekends and public holidays as part of the regular 5-day work schedule.
