Job summary

Fujitsu is seeking an Expense Reimbursement Operator to manage the full expense reimbursement lifecycle across multiple Philippine locations, including travel expenses, reimbursements, accruals, and related inquiries. The role requires JLPT N2-level Japanese communication with Japan-based staff and SAP Concur system ownership.

You will oversee HR and General Affairs processes for trainings and registrations, ensure compliance, and contribute to process improvements.

Qualifications

• Japanese language proficiency sufficient to directly contact employees in Japan; reading/listening JLPT N2, writing via email.
• FUJITSU Level 10 capable with autonomous task execution and strong problem solving; Level 9 considered for potential advancement.

Responsibilities

• Manage Travel Management and expense reimbursement workflow end-to-end.
• Collect, reconcile data on travel expenses and related records; provide reports to related departments.
• Process travel reimbursements, expense accruals, and subsidy procedures with proper accounting treatment.
• Guide travelers on claim requirements and reimbursement steps for accuracy and compliance.
• Handle post-approval corrections, payment transfer errors, and inquiries to ensure smooth operations.
• Review supporting documents to ensure travel reimbursement accuracy and compliance.
• Report on proper use of expense reimbursement processes and perform fact-finding as needed.
• Expense Management (HR): process reimbursements for training and course fees; approve/reject enrollment requests.
• Expense Management (General Affairs): handle refunds/cancellations; support vendor registrations and bank transfer inquiries.
• Handle employee inquiries related to expense reimbursement in Japanese and provide responses.
• Create and update manuals and business flows; drive process improvements.
