Job Description:

The Benefits Administration Specialist coordinates and administers various aspects of employee benefits administration for HRO clients. Maintains close communication with client points of contact (POCs), handles onboarding processes, and ensures compliance with benefits-related policies and programs sponsored by the client.

Key Responsibilities:

  • Recruitment Support:
    • Draft job postings
    • Standardize screening process by providing templates and guides for interview questions and evaluation forms
  • Onboarding Administration:
    • Coordinate communication with points of contact to trigger events
    • Collect pre-hire documentation and review for completeness
    • Arrange background checks and drug screenings
    • Initiate E-verify (I9) procedures
    • Schedule new hire orientation sessions and provide orientation materials to employees such as handbooks, required notices, benefits brochures, etc
    • Assist in assigning required eLearning courses (e.g., safety training, anti-harassment, etc.), if available, through Client’s third-party learning management platform
  • Benefits Administration:
    • Enrolls employees in carrier systems
    • Responds to employee inquiries regarding benefits
    • Notifies carriers of changes following employee terminations
    • Perform monthly reviews and reconciliations of medical, dental, vision, STD, LTD, and life insurance plans
    • Collaborates with vendors to resolve, update, and correct system issues
    • Assist with open enrollment processes such as employee communications, vendor updates, and training
    • Updates client HRIS systems with vendor benefit rates
    • Serves as the client point of contact for setting up EDI feeds to maximize effectiveness of HRIS system
    • Conducts enrollment reviews to identify and resolve situations where employees missed enrollment periods
    • Manages leave administration (e.g., FMLA, STD, LTD, Military, Personal Leave) and coordinates return-to-work processes with managers and employees
  • HRIS Assessment:
    • Review HRIS setup to identify workflow, data or reporting gaps
    • Analyze key HR processes in the system and suggest ways to improve efficiency
    • Review HRIS data and provide guidance on maintaining data quality and consistency
    • Create custom report templates (e.g., turnover analysis, headcount, and benefits utilization)
    • Partner in an advisory capacity to a designated implementation team for any systems changes or updates
  • Compliance Administration:
    • Employee Handbook Update or Development
    • Policies and Procedure Update or Development
    • Job Descriptions Review or Development
  • Offboarding Administration:
    • Develop a standardized offboarding checklist
    • Administer termination notices
    • Coordinate final paycheck processing
    • Notify benefit carriers of termination
    • Coordinate with internal contact to collect company property and revoke access to systems

    • Assists in researching new trends impacting our clients and outsourced service offerings
    • Contributes to the growth of the HRO service line

    Qualification and requirements:

    Education:

    • Bachelor’s degree in business, human resources, I/O psychology, organizational communications, or a related field.
    • PHR/SPHR or SHRM-CP/SHRM SCP, CEBS or other related certification(s)

    Experience:

    • 2+ years of experience in benefits administration or a similar role.
    • 1+ years of experience with various Human Resources Information Systems (HRIS), e.g., iSolved, ADP, Paylocity

    Travel

    • Travel may be required to client locations, when requested, and conference locations.

    PERFORMANCE MEASURES:

    • Client satisfaction and account development
    • Team and practice satisfaction and growth participation
    • Personal utilization and realization
    • Minimum of 2 years’ experience in HR or administrative roles, with a focus on recruitment and office coordination
    • Proficiency in HR software and advanced use of Microsoft Office tools
    • Bachelor’s degree in Human Resources, Business Administration, or a related field
    • Demonstrated ability to manage complex administrative tasks and contribute to HR initiatives effectively
    • Will to work on a hybrid setup and might attend training onsite, duration indefinite
